We are currently looking for an Executive Assistant who will support our HR department and executive team. Your responsibilities will include:
Maintaining the calendars of the line managers in a way that each manager can perform efficiently on a day-to-day basis (no conflicts, priorities are understood, key counterparts are identified);
Organizing both regular and ad-hoc events for the leadership team in line with business plans; providing support during visits of P&G representatives from other sites;
Organizing business travels in an efficient way in line with internal policy, ensuring that expense reports are well documented and submitted in a timely manner;
Creating and maintaining Purchase Orders in Coupa; being the point of contact for supplier creation and validation;
Collaborating with on-site service providers (catering, audio-visual team, reception) to ensure the best experience;
Maintaining the time and attendance system (including maintaining the server), managing the overtime records for the organisation and fixing any errors that may occur;
Acting as an HR Data Coordinator, being responsible for HR reporting, providing technical support for the team;
Ensuring the right communication flow within the organisation: planning and preparing communication that will be shared with the employees, utilising the proper channels, managing the site calendar and SharePoint, organising site-wide events;
Job Qualifications
You are the right fit for us if you have:
Previous job experience in administrative work, office support and/or HR would be an asset;
University degree;
Digital fluency, including good knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook);
Proficiency in English; knowledge of Polish would be nice to have;
Strong communication and interpersonal skills, with the ability to interact professionally at all levels;
High attention to detail and accuracy, ensuring the quality of work delivered;
Very good organizational and time management skills, ability to multitask and prioritize;
Proactive and self-motivated approach, with a strong sense of ownership and accountability;
