Customer Service Representative

Telephone Communication

• Answers incoming telephone calls by the third ring, using proper telephone etiquette. This includes using a three-part greeting and asking callers before placing them on hold.
• Operates a multiple-line telephone system. Answers incoming lines, places callers on hold, transfers calls, and pages staff members. Takes and routes messages for veterinarians and staff members.

Client Relations

• Follows established resort guidelines for communicating with clients in different types of situations, such as general inquiries, and scheduling appointments.
• Handles basic questions regarding resort services, fees, and animal care .
• Discerns any potential client problems, complaints, or questions and handles them appropriately.
• Communicates with clients as needed regarding invoices and status of their pets.
• Provides clients with any information or instructions they will need prior to their reservations

Computer Use

• Accurately enters and retrieves records and reports, enters fees and charges, and maintains the database.
• Generates financial and other reports.
• Updates client files and patient records as needed.
• Scans medical documents.

Procedures and Protocols

• Adheres to all resort policies, standards, and procedures, as stated in the manual.
• Maintains knowledge of products and services.
• Attends all staff and departmental meetings as requested.

Additional Duties

• Clean and maintain kennels, ensuring a safe and sanitary environment
• Provide daily care for animals including feeding, watering, and exercise
• Administer medications as directed
• Assist with grooming tasks such as bathing and brushing
• Monitor the health and behavior of animals, reporting any concerns.
• Assist with animal handling.
• Provide basic training and socialization for dogs
• Assist with pet sitting services as needed
