Washburn Center for Children is a leading children’s mental health center, caring for a wide variety of children’s needs associated with anxiety, depression, behavioral difficulties and trauma. The 141-year-old nonprofit offers critical mental health intervention to help children - and their families - realize hope. Washburn Center for Children serves almost 4,000 children ages 0-18 and approximately 9,000 family members each year. Washburn Center’s three office locations – Brooklyn Park, Edina, and Minneapolis – serve the entire Twin Cities metro area. The nonprofit also offers in-home services, and its school-based program serves 50+ schools in the Eden Prairie, Bloomington, Minneapolis, Savage, Burnsville and Eagan school districts.

The Medical Billing Team Lead’s principal responsibilities include participation in a team environment to perform, train, lead and maintain procedures related to billing, payment entry and accounts receivable management, utilizing the electronic health record (EHR) system to maximize reimbursement. In addition to creating and maintaining relationships with the Billing and Finance Team members, the Medical Billing Team Lead must also build mutually beneficial relationships with third-party payers and other mental health providers.
Manage Third Party Aged Accounts Receivable 50% - The Medical Billing Lead will:Manage monthly third-party aging:* Maintain Total Monthly Aging Receivables within allowable standards as defined* Maintain short term and long-term Aging Receivables within allowable percentages as defined* Monitor open receivables for assigned third party payersFollow-up on denied and unpaid claims for assigned payers:* Use Explanations of Benefits (EOBs) to follow-up on denied or incorrectly paid claims* Use denial reports to determine when follow-up is necessary on unpaid insurance claims* Resubmit corrected claims and appeals on a timely basis, as neededFollow procedures for appropriate write offs in the Billing System
Payment Entry 20%- The Medical Billing Lead is expected to enter payments and cash receipts into the billing system within 2 business days of receipt, when possible, including the following responsibilities:* Enter and post cash receipt payments in the EHR system and reconcile daily* Collaborate with the Accounting staff to manage EFT and Credit Card payments* Print and download Remittance Advice from electronic clearinghouse once confirmation of EFT has been received* Enter and post refunds, as needed
Lead Functions 15%–The Medical Billing Lead will:* Serve as resource for Billing Team staff for Mental Health Billing rules, Washburn policies and Team practices* Document updates to processes and aid Billing Supervisor and Revenue Cycle Manager in maintaining SharePoint reference documents* Partner with Billing Supervisor to train new Medical Billing Coordinators and Reimbursement Specialists
Billing Functions 10%– The Medical Billing Lead will:* Prepare and send daily insurance claims* Review claims prior to submission to ensure that they are billed appropriately (e.g., COB claims have the correct data and add-on codes are billed appropriately)
Other Duties 5% - The Medical Billing Lead is also expected to:* Attend regularly scheduled Agency meetings as pertain to the positions including, but not limited to, accounts receivable meetings and department meetings* Any other projects or tasks as deemed necessary by Billing Supervisor
