Description
The Administrative Assistant provides comprehensive support to the Virginia Regional Leader/VP, Area Leader, and Field Service Leaders within Construction Services. This role requires a proactive individual with strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The Administrative Assistant will be responsible for both tangible and intangible services, ensuring seamless operations and effective communication within the organization.Your Primary Responsibilities will include
Meeting Coordination & Documentation- Prepare and finalize meeting minutes.
- Coordinate meeting logistics, including scheduling, room bookings, reminders, report compilation, and catering arrangements.
- Manage and organize the training matrix.
- Assist with progress reports, invoicing, and other administrative tasks.
- Prepare and submit expense reports.
- Update and verify timesheets, ensuring accurate posting of productive time.
- Order office supplies and manage inventory.
- Assist with fleet compliance and driver documentation as needed.
- Intangible Services
- Maintain confidentiality and handle sensitive information with discretion.
- Foster positive relationships within the team through strong interpersonal skills
- Adapt and respond effectively in a dynamic work environment.
- Provide proactive support by anticipating team needs and addressing potential issues.
- Serve as a liaison between leadership and internal/external stakeholders.
What you'll need
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and Microsoft Teams.
- Ability to work both independently and collaboratively.
- High level of professionalism and attention to detail.
- Valid driver’s license with an approved/acceptable driving history.
- Location: Full-time position based in the Glen Allen office.
- Schedule: 40 hours per week, with the possibility of overtime.
- Environment: Office setting with regular field visits alongside the Virginia team and occasional on-call duties as needed.
