General Job Description
Dogwood Industries is seeking a highly organized office professional to join our team in Everett, WA. The successful candidate will thrive at multitasking, pay excessive attention to detail, and take ownership and pride in their tasks. A successful candidate will be reliable, dependable, and determined when it comes to projects that challenge their capabilities. The Experienced Office Administrator position is a key role within Dogwood Industries, providing support to all team members in our Everett factory office.
Duties & Responsibilities
Office Tasks
- Reception duties (greet visitors, intercept deliveries, answer phone calls, monitor VM and redirect calls when necessary, etc.)
- Timecard corrections
- Retrieve and distribute all incoming mail; prepare all outgoing mail
- Assist with contract administration as needed including obtaining signatures, scanning and electronic filing
- Track and stock office supplies to avoid interruptions in standard office operations
- Arrange for repair and maintenance of the office space and equipment (multifunction machines, etc.)
- Maintain vehicle registration records and update when necessary
- Assist in planning and arranging company events
- Ensure office is clean and presentable at all times
- Warehouse maintenance – ensure tidiness of lunchroom and warehouse
- Accept trucking deliveries as needed
- Order marketing materials as directed
- Provide administrative support to multiple teams including project coordination, accounting, and business development.
- Anticipate business needs and create solutions for process improvement
- Other duties as assigned
Accounting Tasks
- Support account reconciliations by verifying, collecting, sorting, and filing receipts that are in possession of company credit cards, as needed.

Human Resources Tasks
- Onboard new hires (E-Verify)
- Prepare and distribute new hire onboarding information
- Provide new hire orientation to include, introduction to our company policies and core values, a tour of our internal file structure and systems, and verify employee log-ins and access
- Assist with maintaining company policies and procedures
- Other duties as assigned
Information Technology Tasks
- Manage 3cx VoIP phone system and set up, which includes managing VM codes, transfer settings, user details and access
- Workstation set up, which includes computer set up, cable management and restocking of office supplies.
- Order IT supplies, as requested by management
- Liaison with IT Systems Engineer to troubleshoot, resolve on-site IT issues

Requirements
Requirements
- Previous office or administrative experience
- Experience with Procore, Foundation, Paylocity or similar software
- Professional, motivated, and energetic demeanor
- Strong organizational skills
- Proficiency with Microsoft Office programs (Excel, Word, Outlook)
- Proficiency with Adobe Acrobat
- Excellent verbal and writing skills in U.S. English
- Valid driver’s license with clean driving record
- Experience in construction or manufacturing is a plus
Physical Requirements/Work Environment
This position requires moderate physical activity in an office environment. To perform the essential functions of this job, the employee is frequently seated at a computer desk with the option to stand, is utilizing the telephone, participating in meetings with colleagues, stocking supplies and tending to the office environment. There are stairs in the office. This position will require driving a personal vehicle for office errands (mileage reimbursable). Occasional travel to the factory location as needed, where they will be exposed to shop elements such as noise, dust, fumes and odors.
Compensation
$24.00 – 28.00 hourly, depending on experience and qualifications.
