About the role

We have an exciting opportunity to join us in supporting one of our valued customers as a Senior Administrative Support Specialist to work out of Ft. Eustis, VA.

Essential Duties:

  • Prepare program documentation, including briefings, spreadsheets, and reports. Generate and present comprehensive technical briefings, papers, critiques, and recommendations.
  • Assist with the management of Army Aviation R&D programs and performers in formal design reviews and informal status meetings.
  • Work with design, engineering, test and quality assurance and program management team members to help them plan and track project schedules, deliverables, and risks.
  • Provide administrative support, monitor supplies and equipment. Consolidate reports and prepare summaries.
  • Perform a variety of administrative duties to include but not limited to: Use of extensive knowledge of personal computers and software such as word processors, graphics, spreadsheets, database management systems, and communications to produce a wide range of documents, incorporate data from different software applications, or update spreadsheets and print a variety of documents.
  • Compose correspondence, award memoranda, etc., on a variety of subjects such as routine civilian personnel matters, records administration, reports control, employee reviews etc.
  • Receive telephone calls and visitors, ascertains nature of call or visit and refers to branch chief or staff member as appropriate. Respond to routing and non-technical request for information. Relay messages from Branch Chief to staff members.
  • Make travel arrangements based on specific requests provided by traveler based on stated desires and in accordance with appropriate travel regulations. Schedule transportation, hotel/Government quarters reservations in a timely manner. Accurately prepare travel orders and vouchers.
  • Prepare and consolidates time and attendance data in a timely manner and maintain accurate time and attendance records. Consolidate time and attendance data and submit to supervisors. Prepare civilian training requests, submit and maintain logs/files.
  • Advise supervisors and appropriate personnel on mandatory training and maintains log.
  • Prepare request for quotes and contacts a variety of vendors to obtain information needed to order materials, items or services.
  • Prepares purchase requests and orders materials, items or services, and maintains tracking data of such items concerning order date and receipt of items.
  • Track labor hours for government employees and maintain records of monthly labor hours.
  • Arrange meetings and conference calls as assigned, notifying participants of time, place, and topic.
  • Read directives and instructional material pertaining to administrative practices and clerical procedures in order to be aware of new, revised, or amended procedures for such matters as: preparation and processing of correspondence, filing, mail procedures, operational procedures, etc.
  • Assignments involve narrative, tabular, and statistical data.
  • Additional duties as assigned.

Required Qualifications:

  • Minimum of 5 years of relevant experience.

Preferred Qualifications:

  • Proficient in Microsoft Office applications (e.g., Word, PowerPoint, Excel, Access, Outlook) and Adobe Acrobat.
  • Ability to communicate with senior personnel and coordinate work and meeting schedules with the Microsoft Office environment.
  • Ability to receive and understand instructions and carry out those instructions in a swift and efficient matter.

Education/ Certification:

  • High School diploma or equivalent
