The Seasonal Administrative Assistant provides flexible, high-quality administrative support across Human Resources, Quality, and general business operations. This role is ideal for someone who is organized, proactive, and comfortable juggling a variety of tasks in a fast-paced environment. You’ll help keep processes running smoothly by assisting with documentation, data entry, scheduling, compliance tasks, and special projects. May work in a particular department or float between departments. Typically has 0-2 years of experience and works under close supervision.

Human Resources Support

  • Assist with onboarding tasks such as preparing new hire packets, scheduling orientations, and collecting required documentation.
  • Maintain employee files and ensure records are accurate and up to date.
  • Help track attendance, training completion, and other HR metrics.
  • May perform other tasks or participate in special projects as assigned.

Quality & Compliance Support

  • Assist with document control, including updating SOPs, forms, and logs.
  • Support internal audits by organizing records, gathering evidence, and tracking corrective actions.
  • Help maintain quality dashboards, spreadsheets, and compliance reports.
  • Perform basic data entry and verification to support quality initiatives.

General Administrative & Operational Tasks

  • Provide day-to-day administrative support such as filing, scanning, copying, and organizing documents.
  • Assist with scheduling meetings, preparing agendas, and taking meeting notes.
  • Support special projects across departments as assigned.
  • Help maintain office supplies, inventory lists, and shared workspaces.
  • Respond to internal inquiries and route information to the appropriate team members.

Qualifications

  • Previous administrative experience preferred 0-2 years; HR or Quality experience is a plus but not required.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new systems.
  • Excellent attention to detail and accuracy.
  • Strong communication skills and a customer-service mindset.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Reliable, adaptable, and able to work independently with minimal supervision.
  • Ability to work as part of a team and willing to help.

Physical & Work Environment Requirements

· Sitting for Extended Periods: Administrative assistants often spend a lot of time sitting at a desk working on a computer.

· Manual Dexterity: Proficiency with computers, office equipment, and handling various office tasks such as filing documents, typing, and using the telephone.

· Lifting and Carrying: Occasionally lifting and carrying items such as office supplies, files, and small packages. This typically involves lifting weights of up to 10-20 pounds.

· Visual Acuity: Good vision is needed to read and type documents, view computer screens, and handle other visual tasks.

· Hearing and Speaking: Clear and effective communication, both in person and over the phone, is crucial. This requires good hearing and speech capabilities.

· Mobility: Ability to move around the office to perform tasks such as filing, retrieving documents, or attending meetings.

· Reaching and Bending: Occasionally reaching, bending, or crouching to access files, office supplies, or equipment.

· Walking: Some roles may require walking around the office or to different parts of a building for tasks or meetings.
