Description
Job purpose
The Accounts Payable Specialist/Purchasing Assistant performs a variety of accounting and purchasing tasks to assist the Controller and Materials Manager, including general ledger, accounting and internal auditing functions.
Duties and responsibilities
- Receive, review, and process a high volume of invoices in accounting inbox on daily basis
- Match invoices with purchase orders for multiple vendors
- Works with vendors to identify billing discrepancies and find resolutions and maintain positive relationships
- Maintain organized and accurate accounts payable files and documentation
- Reconcile vendor statements
- Reconciles selected general ledger accounts and writes journal entries for reclassification of expenses as needed
- Review and approve credit card transactions with monthly reconciliation
- Sorts and distributes office mail on a daily basis
- Match outstanding A/P balance with payables software
- Assist in month end closing procedures
- Preparing and filing 1099 forms
- Assists with budget and audit preparation as assigned
- Performs routine bookkeeping and clerical accounting duties
- Performs other duties as assigned
- Maintains clean and orderly work area
- Has regular and predictable attendance
- Adheres to Advanced Pain Care’s Policies and procedures
Requirements
Qualifications
Education: Associate or Bachelor’s degree in Accounting, or related field preferred
Experience: Two or more years of full cycle accounts payable experience, education and training which demonstrates the knowledge, skills, and abilities to perform the job.

- Strong organizational skills, analytical ability, and attention to detail
- Ability to perform accounting functions in accordance with generally accepted accounting principles and practices in compliance with guidelines established by outside agencies
- Ability to work independently and self-manage
- Ability to work effectively with colleagues by practicing punctuality, respect for deadlines, collaborative problem solving and honest communication
- Must display empathy and positive regard for others in written, verbal and non-verbal communication
- Ability to maintain proficiency as needed and approved by attending trainings, reading job-related materials, and meeting with others in area of responsibility
- Compliance with all required standards of patient confidentiality and safety
Working conditions
Environmental Conditions: Medical Office environment
Physical Conditions:
· Must be able to work as scheduled – typically from 8:00 – 5:00 M-F
· Must be able to sit and/or stand for prolonged periods of time
· Must be able to bend, stoop and stretch
· Must be able to lift and move boxes and other items weighing up to 30 pounds.
· Requires eye-hand coordination and manual dexterity sufficient to operate office equipment, etc.
