Department: Financial Operations

Reports To: Director, Financial Operations

Travel: Minimal

Positions Supervised: Grant Accountants

LOCATION:  Green Bay

STANDARD HOURS:  40 hours per week. Typical hours Monday - Friday 8:00am - 4:30pm, with remote capabilities two of the five days. Flexibility required to work other hours, as necessary.

SALARY RANGE: $80,515 - $86,777 per year

*Salaries/Wages for all finalists (internal and external) will be placed within the range based upon education, experiences, current wages, and internal equity.

POSITION SUMMARY

The Grant Accounting Supervisor is responsible for overseeing the financial administration of grants and special revenue of the College and ensuring compliance with internal and external regulations.  The role includes supervising a team of grant accountants, managing financial reporting for grant-funded projects, and providing guidance on accounting processes related to grants.  The Grant Accounting Supervisor works closely with various departments to ensure grant funds are utilized efficiently and in accordance with all applicable guidelines and regulations.

ESSENTIAL FUNCTIONS

Supervision & Leadership:

  • Lead, mentor, and develop a team of grant accountants. 
  • Assign tasks, set performance goals, and provide regular performance feedback.
  • Foster a collaborative and efficient work environment.

Grant Financial Management:

  • Oversee the accounting for grant or special revenue funded programs, ensuring proper allocation and expenditure of funds.

  • Ensure timely and accurate preparation of grant-related financial statements and reports.

  • Monitor and track grant budgets to ensure compliance with funding restrictions and financial policies.

Compliance & Reporting

  • Ensure adherence to federal, state, and local grant regulations, as well as donor-specific guidelines.

  • Coordinate the preparation of financial reports for grantors, including quarterly and annual reports, ensuring all deadlines are met.

  • Review and ensure the accuracy of all financial documentation related to grant and special revenue expenditures, such as invoices, receipts, and time sheets.

Financial Controls & Processes:

  • Develop and maintain internal controls and procedures to safeguard grants and special revenue funds.

  • Review and approve grant and special revenue-related journal entries, transactions, and financial records.

Collaboration & Communication:

  • Serve as a primary point of contact for internal departments, auditors, and external funders regarding grant and special revenue accounting matters.

  • Collaborate with teams on grant and special revenue budgets to ensure proper spending

  • Provide training and support to staff on proper accounting practices and financial reporting requirements.

Audit Support:

  • Act as the primary liaison for external audits such as the annual Single Audit and any other funding audits, including compiling documentation and being the primary point of contact.

MINIMUM QUALIFICATIONS AND WORK EXPERIENCE

  • Bachelor’s degree in accounting or finance.

  • Minimum of five years of experience in accounting. 

  • Strong knowledge of accounting principles and practices.

  • Proficiency with accounting software and Microsoft Office Suite (Excel).
