Job Summary: The Lab Administrative Assistant will provide support to the UPL NA Audubon, PA laboratory by maintain stocks levels for the lab, ordering and maintaining samples from vendors while ensuring accurate documentation and being the point of contact for all invoicing-rated tasks and inquiries, IT resolutions, and office vendors.

 

Job Duties and Responsibilities:

  • Order all chemicals and lab supplies as required and maintain stock of frequently used items for continuity of laboratory activities
  • Interfacing with facility maintenance and lab equipment and system contractors.
  • Administrative assistance with shipment of samples and maintenance of Osiris inventory system
  • Code and submit invoices through SAP portal on a consistent basis to ensure timely submission to AP team
  • Order samples from vendors and maintain stock of frequently used inerts to support formulation development
  • Log in samples upon receipt at lab daily
  • Enter samples received into inventory database and shelve in appropriate location
  • File sample SDSs, COAs, and shipment receipt paperwork on ongoing basis
  • Contact IT Dept for any lab computer related issue and handle until resolution is reached
  • Contact instrument vendors to schedule routine and non-routine service for all lab equipment as required and handle service until instrument is back in-service
  • Conduct all interactions with company employees and outside vendors in a positive, professional manner

 

Qualifications:

  • Associate degree required; Bachelor’s degree in related field preferred
  • Three to five years of experience in an administrative role
  • Familiarity with working in laboratory environment is beneficial
  • Must be honest, dependable, and work as a team player
  • Must have an eye for detail and organization
  • Must be able to work independently
  • Ability to perform comfortably in a fast-paced, deadline-oriented work environment
  • Demonstrate ability to communicate orally and in written form effectively with co-workers and others as required
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Proficient in Microsoft Office Suite or related software needed
  • SAP experience is a plus
