Program Specialist, Ethics & Compliance (Global Operations and Administration)

What will you do?

A day in the life of a Program Specialist, Ethics & Compliance – Global Operations and Administration at VF looks a little like this.

Play a vital role in the success of VF’s Ethics and Compliance Program by coordinating key operational aspects of the program and will provide administrative support to the VP of Division General Counsel, Corporate Americas.

Let’s break down that day-in-the-life a bit more.

Ethics & Compliance Operations:

  • Develop, document, and implement internal operational processes and procedures to support all program elements, including creating templates, forms, and other solutions utilizing different technology tools, such as Smartsheet and Docusign, and making recommendations to standardize and optimize existing work
  • Support development of functional strategy, maintain and update strategy document at least quarterly to reflect assessments of priorities and resources during team meetings, provide accountability systems and check-ins for team (Smartsheet objectives tracker, team meeting review of priorities)
  • Support development and execution of function plans to support effective program operations and documentation for program defensibility (Auditing, Monitoring and Assessment Plan; Training and Comms Plan; Leadership Engagement Plan, etc.)
  • Manage SharePoint sites and document repositories, maintaining and enhancing an efficient organizational system for the teams to ensure all documents are appropriately recorded and easily located
  • Maintain the team’s employee-facing resources, including creating and updating pages and content on the company intranet
  • Maintain policy management framework and documentation (policy review schedule, prior policy versions, etc.)
  • Coordinate team meetings, including scheduling, agendas, note taking and action-item tracking
  • Support the development, coordination, and implementation of training, awareness, and communication plans, programs, and activities; track and ensure training completion and communication metrics

Administrative:

  • Prepare and edit presentations, spreadsheets and other documents, including proofreading for errors and enhancements to improve professionalism and impact 
  • Manage calendars, perform notary duties, purchase supplies, support department memberships, and perform other administrative duties as needed
  • Manage vendor relationships, including selection, onboarding, tracking, and billing
  • Manage Ethics & Compliance function budget and track approved expenses 
  • Coordinate payments, expenses, and reimbursement requests for internal partners and vendors, including maintaining detailed records of invoices and receipts
  • Arrange travel, including proactively providing feasible and flexible options, itineraries, and resources for travel support outside of business hours 
  • Coordinate internal engagement activities such as site visits, events, and road shows, ensuring invitations are issued and tracked, meeting venues are identified, logistics for participants are secured and confirmed, IT-related needs are addressed, and meals/refreshments are covered.

What do you need to succeed?

Additionally, while formal education in a related field is great to have, we are most interested in your 5-7 years of experience and professional achievements. 

The foundation skills you will need in this position are:

  • Bachelor’s degree in a relevant field, compliance certification a plus
  • Work history of maintaining high ethical standards and personal integrity
  • A positive, team-oriented attitude
  • Efficiency in Microsoft suite (for example, PowerPoint, Excel, and Word) to prepare professional communications, presentations, and reports; proficiency in SharePoint a plus; openness and ability to quickly learn new technologies to support the team
  • Ability to take initiative and be proactive in identifying opportunities
