Job Overview
The Engineering and Maintenance Department Assistant II is responsible for keeping records for the hospital's preventive maintenance program of equipment and machines, performing other clerical duties such as, but not limited to typing, filing and contacting vendors for cost comparisons. Recording and transcribing minutes for the Plant Facilities and Safety, Health, and Risk Management committees. Also, performing clerical tasks for the Safety and Security department, Environmental Services department and relief of Switchboard Operator/Receptionist duties for the hospital. Duties include noting recommended servicing dates, reviewing warranties, filing of contracts and contacting vendors for servicing as directed. Maintains the department Materials Safety Data Sheet handbook and recording and updating of OSHA files. Works under the direct supervision of the Director of Plant Facilities. The pay range for this position is $20.31 - $30.46, commensurate upon years of experience.Responsibilities
General Clerical Tasks• Typing and formatting correspondence and forms neatly and accurately, 100% of the time. Completing typing assignments in a timely manner, at all times. Demonstrating the ability to prioritize and organize clerical tasks in order to complete assignments on a timely basis, at all times.• Filing documents accurately within 3 days of receipt, 100% of the time. Keeping files organized so information is readily available and accessible, at all times.• Recording accurate minutes reflecting actual discussion and typing committee meeting minutes accurately, at all times. Completing and distributing by due dates, 100% of the time. Inputting/Updating Data in Maintenance Program and Printing Work OrdersPrinting demand work orders twice daily. Printing and distributing preventative maintenance work orders on a weekly basis and updating all PM tasks. Inputting and updating data accurately on a weekly basis.Ordering Materials and Processing PaymentsCalling vendors promptly and preparing requisitions accurately at all times and following up on pending orders. Attaching proper supporting documents to the invoice, 100% of the time and forwarding to Supply Chain within 2 days of receipt. Reporting any discrepancies immediately, at all times. Performing Other DutiesPerforming other duties as assigned or requested willingly and promptly, and with a positive attitude. Reporting when the task is completed, as appropriate.
Qualifications
Education
High School Diploma/GED - Preferred
Experience
Two years clerical experience preferred. Minimum 45 wpm desirable. Computer experience preferred and switchboard experience helpful. Excellent writing and verbal communication skills.
Additional Knowledge and Skils
Working knowledge of standard office equipment and telephone system. Computer skills using Word, Excel, Outlook and Access required. Knowledge of the building industry, building supplies and equipment, services and terminology helpful. Knowledge of Material Safety Data Sheet (MSDS), Occupational Safety and Health Administration (OSHA), building maintenance and construction terms and supplies helpful.Requires attention to detail and mathematical calculations for estimating costs.Apply for this role
