LEGAL/JUDICIAL SECRETARY - JUVENILE COURT

This is a full-time position and receives all benefits afforded to regular employees.


Summary:  The purpose of this position is to perform secretarial work associated with providing administrative support in a legal office environment and processing documentation and information relating to an assigned department.

 

Essential Job Functions: The following duties are normal for this position.  The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification.  Other duties may be required and assigned.

  • Provide secretarial support in a legal office environment for an assigned department/division; processes a variety of documentations associated with department operations within designated timeframes and per established procedures.
  • Provides secretarial support for attorneys, officials, and/or staff of assigned department; assists with preparation of legal documents and maintenance of records; screens telephone calls, mail, emails, and other communications and initiates appropriate action/response; composes, types, edits, or proofreads correspondence; records and/or transcribes dictation; maintains calendars and schedules meetings, appointments, interviews, or other activities; coordinates travel arrangements, accommodations, conference registrations, or related plans for department staff.  Attends and provides assistance to attorneys in court.  Serves as backup coverage to other employees with in the department as needed.
  • Serves as liaison between the assigned department and other county departments/divisions, department directors, staff members, county officials, court officials, the public, key community leaders, outside agencies, the media, and all other individuals or organizations; conveys information among division/department personnel.
  • Performs reception functions; answers telephone calls and greets visitors; ascertains nature of business, directs callers/visitors to appropriate personnel, and records/relays messages; initiates and returns calls as necessary.
  • Performs customer service functions; provides information/assistance regarding department services, activities, procedures, fees, or other issues; distributes forms/documentation as requested; responds to routine questions or complaints and initiates problem resolution.
  • Creates files, accusations, motions, orders, subpoenas, and other legal documents to be used in the prosecution of misdemeanor cases.
  • Prepares discovery documents and request evidence from outside agencies or victims.
  • Types, composes, prepares, or completes various forms, reports, correspondence, legal documents, budget documents, travel request or other documents.
  • Receives various forms, reports, correspondence, calendars, evidence, and documents; reviews, completes, processes, forwards or retains as appropriate.
  • Maintains current resources and misdemeanor offense; replace and update as laws/procedures change.
  • Monitor inventory of supplies; request replacement prior to supplies running out.
  • Operate a computer to enter, retrieve, review or modify data; verifies accuracy of entered data and makes corrections; utilizes word processing, spreadsheet, database, internet, email, or other programs; performs basic maintenance of office equipment, such as replacing toner, drums, paper; coordinates service/repair activities as needed.
  • Maintains file system; prepares and sets up files; sorts/organizes documents to be files; files documents in designated order; retrieves/replaces files; shreds/destroys confidential or obsolete documents.  Prepares disposed files to be sent to storage, enters boxes into record centers database, label boxes for storage, and arrange with records custodian work order for boxes to be picked up.
