About the Role

As Administrative Assistant, you will be the right hand to the Executive Assistant to the Chairman and Publisher. You are an important partner with us, maintaining the efficient operations of the Chair and Publisher’s office. Responsibilities include a broad range of  tasks; from daily support of the broader office to longer-term projects and event planning. 

Above all else, you are curious and value the role of independent journalism in our society.

You will be New York City based and in-office work at least 4 days per week is expected, depending on the needs of the office. You will report to the Executive Assistant to the Chairman and Publisher.

Responsibilities:

  • Partner with the Executive Assistant to the Chairman and Publisher to provide secondary support of the office; and collaborate on:

    • Administrative support; including meeting and travel booking and expense submissions

    • Event planning; from lunches and dinners to large-scale gatherings

    • Executive meeting preparation; including briefing/memo writing and research projects

    • Errands, personal tasks

    • Welcome VIP guests and partner with security teams

    • Coordinate The Times’s internal awards program and other projects as they arise

    • Manage office gifting and deliveries

    • Handle incoming mail/email and prepare correspondence on behalf of the Chairman and Publisher

    • Management and upkeep of office databases and documents

  • Step into the role of Executive Assistant, to cover time off and emergency outages 

  • Maintain a high degree of confidentiality on all matters

  • Manage time and prioritize incoming requests

  • Embrace change at a moment’s notice, and shift priorities easily

  • Think ahead and handle next steps on projects in flight

  • Maintain relationships with important contacts within and outside of the company

  • Organization is important, as you will need to work collaboratively and take instruction; handling problems creatively

Basic Qualifications:

  • Bachelor’s degree or equivalent years of professional experience

  • 1-2 years experience in an administrative or support role

  • A “no task too big or too small” attitude

  • Prioritize under pressure, and meet deadlines

  • Work with all levels of staff and management, external guests and vendors

Preferred Qualifications:

  • Experience in newsroom or media industry

  • You are one who welcomes challenges and looks for creative solutions

  • A passion for news and the role of a free press; plus a commitment to The Times’s Mission, including independence in journalism

The annual base pay range for this role is between $70,000 and $85,000.
