Position Overview
As the Executive Administrative Assistant, you will provide high-level administrative support to hospital leadership, manage complex calendars, coordinate meetings, and oversee key projects. You’ll play a vital role in ensuring efficient operations and fostering a collaborative, professional environment.
Schedule: Monday–Friday, 8:00 AM–4:30 PM
Flexibility required for occasional meetings outside regular business hours.
Key Responsibilities:
• Prepare and coordinate materials for Board of Directors, Senior Leadership, and Management Team meetings, including agendas, documentation, and record-keeping.
• Maintain confidentiality in all aspects of sensitive information, including staff performance, contracts, and medical staff matters.
• Manage executive calendars, schedule meetings, and coordinate logistics including room setup and AV needs.
• Track committee decisions and ensure timely follow-up and documentation.
• Draft and respond to correspondence, memos, and inquiries independently.
• Arrange travel for Senior Leadership Team members.
• Support employee recognition programs, special events, and educational initiatives.
• Perform general administrative duties such as filing, mail handling, and supply coordination.
• Oversee contract management and digital signature systems to ensure efficient document execution.

• Strong organizational skills and attention to detail.
• Proficiency in Microsoft Office Suite.
• Discretion in handling confidential and sensitive information.
Qualifications:
• High school diploma or equivalent required; college degree preferred.
• Licensed Notary Public or willingness to obtain upon hire.
• Minimum of 3 years of administrative/secretarial experience required.
• Experience in a healthcare or hospital setting strongly preferred.
