A. PRIMARY PURPOSE OF POSITION
The Development Office within University Relations, seeks an outstanding candidate for the position of Development Operations and Corporate Matching Gift Manager. This position reports to the Senior Executive Director, Mission and Ministry and ensures that the she and her reporting Senior Directors of Development, receive the highest level of operational and strategic support, enabling them to maintain an outward focus on building relationships and securing gifts. The position also manages the Development Office’s corporate matching gift program using Double the Donation software. This responsibility ensures Santa Clara leverages corporate matching gifts to increase the impact of an individual’s gift to the University. The diversity of the workload requires leadership, flexibility, efficiency, attention to detail, and the
ability to prioritize tasks and meet deadlines for a wide variety of assignments. This position also requires tact, diplomacy, and confidentiality in dealing with members of the University community and the University's donors.
B. ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Corporate & Matching Gifts
● Using the Double the Donation software, identify and secure matching gifts from donors employed at companies with matching programs.
● Remain vigilant of matching gift trends, and participate in efforts that may involve new processes, tools, and cutting-edge technologies related to appeals.
● Keep the matching gift section of the fundraising pages of SCU’s website current and accurate.
● Market matching gift opportunities via various outlets including social media, email campaigns, and annual fund letters.
● Collaborate with Gift Processing to ensure that all matching gift requests are submitted and processed accurately and promptly.
● Follow up with donors and companies as needed to secure matches.
● Develop reports to track matching gift activity, monitor progress, and assess the effectiveness of our matching gift strategy.
● Liaise with stewardship staff to ensure that matching donors are appropriately thanked and engaged.
2. Operations, Administrative & Strategic Support
● Provide advanced and diversified management of the day-to-day operations of the Senior Executive Director, Mission and Ministry and her team, ensuring efficiency and effectiveness, and optimizing the use of available resources.
● Help coordinate staff meetings and professional development meetings, assist with planning content, oversee the logistics, secure speakers, materials preparation, and follow-up.
● Prepare, submit, and reconcile expenses for the team in Workday, according to University policies and procedures.
● Responsible for calendar management including scheduling and logistics of meetings and events; coordinating with staff; and providing relevant information and materials in advance of meetings.
● Request prospect information; assemble and analyze data to prepare reports, prepare donor briefings, proposals and other materials in advance of donor visits for use by the team.
● Capture and record activities and prospect information in the CLARA donor database, including contact reports and other communications, setting up and monitoring reminders in CLARA.
● Submit vendor contracts and invoices for review and approval in coordination with General
Counsel and the Finance Office. Ensure timely payment of invoices.
● May provide occasional UR front desk support.
