Purpose:

This position provides advanced administrative services work in providing support to the Commissioner of the Department of Education and related support to the Commissioner's leadership staff. Administers the Commissioner's calendar; organizing meetings with and for the Commissioner. Responsibilities includes research, preparation, and planning for key initiatives, meetings, critical reports, presentations, informational materials and communications and direct contact on behalf of the Commissioner with the public, Governor, Governor's office, state agency executives, school and university administrators, State Board of Education and other officials. Coordinates general operating activities for the Office of the Commissioner. Responsibilities require the use of independent judgment, proactive initiative and decision-making on complex administrative matters.

Knowledge, Skills and Abilities: 

  • Knowledge of principles of organization.
  • Knowledge of principal of office management.
  • Knowledge of State of Maine Performance Management and Appraisal System requirements.
  • Ability to compose, review, and edit complex and/ or technical business correspondence.
  • Ability to use discretion and judgment in dispensing information.
  • Ability to utilize current office software.
  • Ability to conduct research and gather information, and analyze results to reach a conclusion and/or make recommendations.
  • Ability to analyze solutions, reach logical conclusions, and make sound recommendations
  • Ability to develop and recommend new work methods and administrative procedures.
  • Ability to effectively plan and adiust work operations to meet panned and unexpected change.
  • Ability to effectively represent the organization at internal and external meetings.
  • Ability to understand and promote management goals as they affect day-to-day operations.
  • Ability to apply to non-routine individual cases an explanation and interpretation of applicable rules, regulations, and policies.
  • Ability to establish work objectives and assess progress.
  • Ability to initiate, coordinate, implement, and evaluate administrative activities.
  • Ability to adjust program/work operations and objectives to meet planned and unexpected change.

MINIMUM QUALIFICATIONS

Training, education, or experience in administrative support work that demonstrates:

  • 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks at the statewide level that are broad in scope or functionally diverse, and
  • 2) the ability to use independent judgment, initiative, and decision making on complex administrative matters.
  • All positions in this classification assume the qualifications of: Office Assistant IOffice Assistant IIOffice Associate I, Office Associate II and Office Specialist I.
