About the role

Summary

Baylor College of Medicine Department of Pediatrics, Rheumatology  at Texas Children’s Hospital is seeking a highly motivated, responsible, and organized individual to join an administrative team to support BCM faculty in the division. The ideal candidate will be a self-starter and work independently to learn policies and procedures with mentoring from the department administrator and department accounting professionals. 

Job Duties

Administrative & Faculty Support – 40%
• Provide general administrative support to 11 clinical faculty.
• Compose formal and informal correspondence.
• Create and format presentations and documents.
• Update and maintain faculty CVs and biosketches.
• Submit supplemental pay using the SuccessFactors Supplemental Pay Tool.
• Submit expenses for reimbursement.
• Provide additional support to faculty members as needed.
Travel & Procurement – 10%
• Manage domestic and international travel using Concur.
• Submit travel reimbursements and expense reports.
• Prepare and process purchasing and office supply orders.
Scheduling & Meeting Coordination – 20%
• Maintain and coordinate faculty calendars.
• Schedule and coordinate departmental and faculty meetings.
• Prepare meeting agendas and take minutes.
Credentialing & Program Coordination – 10%
• Manage credentialing and licensure processes for faculty.
• Coordinate affiliate Observer Program applications and onboarding.
• Assist with coordinating the residency education program.
Operational Tasks – 20%
• Inspect and troubleshoot shared department equipment.
• Facilitate service calls as needed.
• Cover the department’s clinic switchboard calls.

Other Duties

• Performs other administrative and operational tasks as assigned, including supporting special projects, assisting with division initiatives and providing back up coverage for other team members ot ensure continuity of service and support across the division.

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Bachelor's Degree. 
  • Excellent written and verbal communication skills. 
  • Experience in Concur and Jagger. 
  • Proficiency in Microsoft Excel. 
  • Proficiency in Microsoft Office Suite. 
  • Ability and flexibility to work independently or as a team.
