Responsibilities
The Healthcare Administrative Assistant role is pivotal in supporting clinical operations by accurately capturing patient data and coordinating clinic schedules. Job Duties:
- Perform accurate and timely data entry of patient information into electronic medical records (EMR) and other systems.
- Schedule vaccine clinics in coordination with Health Vax team members and clients.
- Ensure patient information is kept confidential and complies with HIPAA regulations.
- Communicate clearly and professionally with clients and team members.
- Assist with general administrative tasks.
- Provide backup support to other staff during high-volume periods or staff absences.
- Supporting the Customer Support Manager with ad hoc projects and tasks.
Qualifications
Requirements:
- Proficient in electronic health records (EHR/EMR systems) and Microsoft Office Suite.
- Exceptional attention to detail with strong organizational skills.
- Demonstrated ability to work independently and adapt to varying shifts and responsibilities.
- Maintains a high standard of professionalism and strict confidentiality at all times.
- Excellent interpersonal and communication skills, with the ability to interact effectively with team members and clients.
- Empathetic and customer-focused, with a commitment to service excellence.
- Reliable, punctual, professional, and self-motivated; able to learn quickly and contribute proactively.
- Adheres to all Health Vax, LLC policies and HIPAA regulations to ensure strict confidentiality of patient and employee information.
Education and Experience:
- High school diploma or equivalent required; associate’s degree or certificate in medical office administration preferred. Previous experience in a healthcare or medical office setting strongly preferred.
Physical Requirements and Work Environment:
- Ability to work from a desktop/laptop throughout the entire workday.
