Our EMS department operates a clinical EMS division and a fleet maintenance division for all of our ambulances, hospital vehicles and fleet work for other emergency response agencies. This position works daily with the fleet maintenance supervisor and also assists the Director with the timekeeping for both EMS and Fleet. The job duties entail managing invoices for fleet repairs, managing invoices for parts and equipment purchased for repairs and routing to the appropriate SSM accounts payable representatives at our other hospital. The position uses a database for repair documentation on all serviced vehicles in order to run maintenance reports on each vehicle along with repair costs per vehicle and revenue production for the fleet division.
The ability to use different databases and produce Excel spreadsheets is a necessary skill. The position requires email and phone correspondence with our fleet vendors and other SSM Health departments.

PRIMARY RESPONSIBILITIES
- Work may include routine to complex administrative support functions.
- Compiles information for reports or presentations. Prepares charts, graphs, or tables.
- May be responsible for budget tracking and maintaining financial or personnel records and databases.
- Responds to correspondence. Edits and proofreads documents.
- Communicates with others in person, telephone, and/or email. May receive and screen visitors and handles general inquiries.
- Assists with preparing for and facilitating meetings, conferences, programs and/or special events.
- Establishes and maintains filing systems. Orders and stocks supplies.
- May enter information from a variety of sources into computer database(s) and verify data entered into computer by checking printouts/reports for errors and correcting as required.
- Works under clearly defined procedures with limited discretion, and under close supervision.
- Performs other duties as assigned.

High School diploma/GED or 10 years of work experience
