Compensation Range:

Hourly: $20.00 - $23.00

Position Summary

The Student Business Services Military Specialist tracks, processes, and maintains Military Tuition Assistance (TA) and Vocational Rehabilitation and Employment (VR&E) benefits by ensuring accuracy of submitted TA and VR&E documentation, completing invoicing through respective military processing portals, and ensuring receipt of funds from military agencies. Regularly communicates with Academic and Finance Advisors/Counselors, School Certifying Officials, and military agencies. Ensures compliance with federal and state regulatory agencies and university policies and procedures. 

Essential Functions:

  • Process student Tuition Assistance (TA) vouchers upon receipt.
  • Utilize TA military invoicing portals including but not limited to: ArmyIgnited (Army), AI Portal (Air Force), and PIEE (Navy, Marines, & Coast Guard).
  • Ensure financial health of all Vocational Rehabilitation and Employment (VR&E) student benefits.
  • Ensure accuracy of student VR&E documentation.
  • Coordinate with applicable university department staff such as Academic and Finance Advisors/Counselors, School Certifying Officials, and Student Business Services Specialists.
  • Coordinate and communicate with military agencies, as appropriate.
  • Utilize the Tungsten Network invoicing system, monitoring receipt of funds, and monitoring potential overpayments through completion of debt letters received from VR&E.
  • Maintain internal consult queue and meet service level agreement expectations.
  • Stay abreast of the changing regulatory environment that may impact the university’s policies and procedures for receiving and processing military benefits.
  • Assist in the development and revision of team policies and procedures as necessary.
  • Reconcile incoming payments and prepare deposits for accounting.
  • Attend the necessary military meetings, workshops, and webinars, that impact student military benefits compliance and best practice.
  • Professionally work with and speak to military agency representatives to resolve benefit issues.
  • Monitor student academic progress for purposes of military benefits qualifications and notify military agency of schedule changes that impact student eligibility.
  • Process VA Debt Letters as received by the university and ensure return of VA funding and adjustment of ledger as appropriate.
  • Participate in ongoing department projects, or other special projects, as needed. 
  • Reasonable and consistent attendance to fulfill requirements of the position. 
  • Other duties as assigned.

Requirements:

Education & Experience:

  • Bachelor’s degree preferred.
  • Minimum of one (1) year of student billing, military student aid, military relations, financial aid, advising, or related experience required.
  • Experience in higher education preferred.
  • Experience working in a technology-driven enterprise preferred.
  • All skills, abilities, and education will be considered for minimum qualifications.

Competencies/Technical/Functional Skills:

  • Knowledge of academic and business workings of a higher education institution.
  • Knowledge of Military Tuition Assistance (TA) and Vocational Rehabilitation and Employment (VR&E) programs.
  • Working knowledge of Department of Defense and Department of Veterans Affairs regulations as it pertains to military education benefits.
  • Skill in verbal and written communication.
  • Skill in operating equipment, such as personal computer and phone system.
  • Ability to use and facilitate online communications.
  • Ability to problem-solve.
  • Ability to compute and comprehend rates, ratios, and percentages.
  • Ability to effectively present information and respond to questions from students, university associates, licensing and accrediting agencies, and the public.
  • Ability to collaborate effectively with others.
  • Ability to maintain confidentiality and professionalism.
  • Excellent customer service and communication skills.
  • Strong analytical and critical thinking skills.
  • Proficient with Microsoft Word and other applications in the Microsoft Office Suite.
  • General legal knowledge including collections, Fair Debt Collection Practices Act (FDCPA), and Family Educational Rights & Privacy Act (FERPA).
