About the role
We are seeking a detail-oriented and highly organized Executive Assistant to support our senior leadership team with day-to-day administrative tasks, scheduling, and special projects. This role requires exceptional communication skills, a high degree of confidentiality, and the ability to work effectively with both internal and external stakeholders. The Executive Assistant will be the main point of contact for the executive office, managing calendars, coordinating travel, and ensuring smooth operations.Responsibilities:Administrative Support:Manage and maintain complex calendars, scheduling meetings, appointments, and travel arrangements for senior executives.Draft, review, and prepare correspondence, presentations, reports, and other documents as needed.Handle phone calls, emails, and requests with discretion, acting as the primary point of contact for the executive office.Meeting Coordination:Coordinate and prepare for executive meetings, including agenda setting, meeting materials, and follow-up on action items.Organize company-wide and departmental events, meetings, and conferences as requested.Attend meetings to capture minutes, track deliverables, and ensure proper follow-through on assigned tasks.Project Management Support:Assist with special projects, providing project management support through research, tracking timelines, and ensuring deadlines are met.Liaise with internal departments to streamline workflows, gather information, and communicate executive priorities.Prepare and track expense reports, budgets, and other financial documents for the executive office.Confidentiality and Discretion:Manage sensitive information with the utmost confidentiality and act with a high level of professionalism.Develop a deep understanding of organizational operations, policies, and objectives to support executive decision-making.Relationship Building and Communication:Cultivate strong relationships with internal and external stakeholders, acting as an ambassador for the executive office.Facilitate communication between the executive office and other departments to enhance collaboration and efficiency.Qualifications:Bachelor’s degree preferred, or equivalent experience in a high-level administrative role.5+ years of experience as an Executive Assistant, preferably supporting senior leaders.Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management software.Excellent communication, organizational, and multitasking abilities.
