JOB SUMMARY

 

Responsibilities include data entry, record validation, records and data storage, auditing, research, and leave calculation. Responsible for payroll coordination processes, including FMLA, for the division.

 

MINIMUM QUALIFICATIONS

 

Associate’s degree from an accredited college or university, plus two (2) years of experience in a field closely related to these duties; OR an equivalent combination of related education and experience.

 

Due to the nature of this position, the successful applicant must pass a required background check through fingerprinting and enrollment in the continuous RAP Back (Record of Arrest and Prosecution Back) program in accordance with current County Human Resources policy requirements.

 

ESSENTIAL FUNCTIONS

  • Initiates and administers new hire processing County-wide, including the verification and completion of I-9 forms, employee personal data collection, County photo ID, verification of start dates, and data entry of all relevant onboarding and offboarding information.
  • Administers the County-wide continuous RAP Back (Record of Arrest and Prosecution Back) program consistent with County policies and state law.
  • Administers the federal E-Verify program by ensuring County compliance with the program, monitoring and tracking work authorization termination dates, and providing E-Verify program training to County staff, as needed.
  • Verifies I-9 hire dates with employees’ actual start dates and makes date adjustments, as required.
  • Audits County personnel files and I-9s to ensure accurate documentation and compliance with federal rules and regulations.
  • Ensures proper storage, archiving, and retirement of County personnel files and I-9s in compliance with federal rules and regulations and County policies and retention schedules.
  • Communicates employee leave and service date information with Utah Retirement Services (URS). Researches and calculates service dates based on County-only and outside service accruals, as needed.
  • Provides training on records and data administration processes, as needed.
  • Completes form and information requests from outside agencies (e.g., Department of Workforce Services, U.S. Social Security Administration, Office of Recovery Services, Utah Retirement Services, etc.).
