We are seeking an Interim Executive Assistant/Chief of Staff, to cover our current Chief of Staff’s upcoming parental leave. This full-time contract position requires a commitment of 40+ hours a week, with availability online between 8am - 6pm PT Monday-Friday. This position is an excellent opportunity for someone to gain experience working with a global executive team, as you will provide project management and ad-hoc executive administrative support for Learneo’s CEO, CFO/COO and General Counsel, and liaise with our other business-line leaders around the world. The successful candidate will possess superior organizational and communication skills, including direct experience supporting C-suite executives, corporate operations, and high-impact projects (i.e. Board of Directors meeting prep, Company Town Hall meetings, Senior Staff meetings, Executive Offsite planning, Corporate Development support). This assignment will begin as soon as possible and end at the end of February 2024.
Here are some ways you’ll make an impact:
- Provide project management and administrative support for Learneo’s Executive Team, including complex calendar management
- Own the logistics and planning for events, trainings, and meetings involving the Executive Team, including:
- Partnering with stakeholders (i.e. Internal Communications, Finance) from across the organization to prepare for company or department-wide meeting agendas, curate content, and gather relevant data inputs
- Compose and prepare correspondence, slide decks, presentations, and meeting materials for Senior Staff, Board of Directors, Town Halls, etc.
- Document meeting minutes, lead meeting communications, and ensure action items are clear and accounted for
- Facilitate bi-weekly “fellowship meetings” involving all of Learneo’s business line Founders/CEOs
- Identify and continually evaluate opportunities to improve our ways of working, including process documentation, maintaining project trackers, and optimizing communication channels
- Collaborate with other executive support team members on miscellaneous projects as needed
- Manage relationships and communication with employees, partners, business connections, investors, etc.
- Research and plan professional travel, organize team activities, and manage expenses
Requirements:
- 5+ years of experience providing administrative support and project management for multiple C-Suite executives
- Able to handle a wide range of tasks with a focus on prioritization, time management, creative problem solving, and effective context-switching
- Highly organized, detailed and process-driven while still remaining flexible and open to change - especially as it relates to scheduling and calendar management
- Communicates with excellent written and verbal skills, coupled with maturity and ability to exercise good judgment, discretion and confidentiality
- Proven ability to cultivate relationships with team members across departments, levels, cultures, and time zones
- Highly proficient in creating professional slide decks and other presentation materials
- Committed to fulfilling the duration of the contract (expected to end in Feb ‘24)
- Proven ability to work effectively in a fully remote environment

In accordance with California, Colorado, New York, and Washington law, the hourly rate for this role if filled in any of these states is $85 per hour.
