This is a fully on-site position Monday - Friday at our office in Manhattan, New York
Role Overview
The Sr. Case Manager plays a critical role in managing pre-litigation personal injury cases from treatment progression through settlement, demand negotiations, and case resolution. This position serves as the primary point of contact for clients while ensuring timely communication, proper case development, accurate documentation, and progression of cases toward resolution or transition to litigation when necessary.
The Case Manager is responsible for managing an active caseload while maintaining strong client service standards, proactive follow-up, and accurate case management practices. This role requires excellent organizational skills, attention to detail, urgency, and the ability to multitask within a fast-paced environment.
The ideal candidate is client-focused, highly accountable, comfortable handling sensitive situations, and capable of balancing client communication, negotiations, case strategy, and administrative responsibilities simultaneously.
Key Responsibilities
- Client Communication & Case Management
- Serve as the primary point of contact for clients throughout the pre-litigation process
- Maintain consistent communication with clients regarding treatment status, case progression, settlement negotiations, and outstanding needs
- Respond to client calls, voicemails, SMS messages, and emails in a timely and professional manner
- Present and explain settlement offers to clients and assist them in understanding available options
- Educate clients regarding treatment recommendations, case progression, settlement processes, and potential litigation steps
- Maintain accurate and detailed documentation of all client communications and case activity within the case management system
- Settlement Negotiations & Insurance Coordination
- Communicate with insurance adjusters regarding claim status, settlement demands, offers, and case resolution efforts
- Follow up on pending demands and negotiate settlements under attorney supervision
- Verify insurance coverage information, including bodily injury, uninsured/underinsured motorist coverage, and personal injury protection benefits
- Track and document demands, offers, negotiations, settlement authority, and related case activity
- Coordinate with attorneys regarding settlement strategy, case valuation, and negotiation updates
- Medical Provider & Lien Coordination
- Communicate with medical providers regarding treatment status, future treatment recommendations, balances, liens, and settlement-related documentation
- Obtain and review medical records, bills, treatment estimates, and lien information as needed
- Coordinate with providers regarding outstanding balances, reductions, and settlement disbursement requirements
- Review treatment progression and identify cases requiring additional treatment, surgical review, or attorney evaluation
- Case Progression & File Management
- Manage and prioritize an active caseload while ensuring timely progression of each matter
- Monitor case milestones and proactively follow up on pending items needed for case advancement
- Ensure all case documentation is accurately saved, organized, and maintained within the case management system
- Review files for completeness and readiness prior to settlement, mediation, attorney review, or litigation transfer
- Conduct regular file reviews and audits to ensure accuracy, compliance, and case readiness
- Identify cases requiring escalation, litigation review, or additional attorney involvement
- Operational & Administrative Responsibilities
- Prepare mediation summaries, settlement documentation, and other case-related materials
