At East County Dental Clinic, a key part of the Multnomah County Health Department, we believe that quality dental care is a right, not a privilege. Located at 600 NE 8th St, Gresham, OR, we are a vital cornerstone in providing accessible, comprehensive dental services to diverse and often underserved populations within Gresham and surrounding East County areas.

We are seeking a dynamic and compassionate individual to join our bustling dental clinic as a Office Assistant Senior. This role is crucial in ensuring seamless patient flow, administrative excellence, and a supportive environment for both our patients and our dedicated clinical team. You'll be at the forefront of our mission, directly impacting the lives of those who need it most.

The responsibility of this Office Assistant Senior includes but is not limited to the following:

Administrative Superpowers

  • Compile, analyze, and distribute weekly/monthly performance reports (think: missing encounters, unsigned notes, denied claims, access data, outreach rosters—you name it).

  • Spot data gaps or red flags and work with the Dental Clinic Supervisor to retrain and recalibrate.

  • Manage and track employee schedules and time-off requests, and assist in resolving payroll questions.
    Keep tabs on staff attendance, process sick leave reports, and support all things HR like onboarding, payroll forms, and more.

  • Provide back-up at the front desk and help lead administrative team efforts to keep the clinic running smoothly.
    Coordinate onboarding for new hires and transfers—welcome to the team vibes, guaranteed.

  • Under guidance from the Supervisor, step up when they’re out to handle cash equivalents, petty cash, bus/cab vouchers, and end-of-day reconciliation.

Scheduling Optimization

  • Be the schedule whisperer—optimize and adjust provider schedules in collaboration with clinic leaders to keep productivity high and patient no-shows low.

  • Review daily appointment flows and help rework gaps to boost capacity.

  • Triage patient calls and get them booked into the right care at the right time.

  • Register new patients accurately and completely in our electronic health records system.

  • Break down dental program access, policies, and costs so patients know exactly what to expect.
    Coordinate new patient scheduling across both Dental and Primary Care systems and help navigate complex or unique access situations.

Client Outreach Champion

  • Contact potential and existing patients assigned to our clinics who need a nudge to start—or restart—their care journey.

  • Coordinate with school and community oral health teams to ensure outreach translates into actual care.
    Track your engagement efforts and outcomes in real time using spreadsheets or custom systems.

  • Train your coworkers in outreach systems and best practices—your skills will scale.
     

Template Architect

  • Build and maintain provider scheduling templates that match clinic flow, staffing, and protocols.

  • Partner with Dental leadership to innovate and improve schedule design.
    Monitor for unauthorized schedule changes and resolve with providers.

  • Research other high-performing programs to adapt best practices and boost efficiency while staying HIPAA-co
