Position Description: The Compliance and Site-Conditions (CSC) Assistant helps the community achieve its goals for Unit appearance and common area maintenance, risk management, and resident quality of life by observing, documenting, and reporting all types of site conditions and initiating, monitoring, and completing the appropriate administrative steps to help achieve resident compliance with Unit maintenance standards and the Parking, Architectural and other Rules and to inform and facilitate timely and proper care of the common area and its facilities by the management team and service providers. As an integral member of the three-person onsite staff, the CSC also performs or assists with additional office and general tasks listed below and others as necessary and/or requested.
Responsibilities:
- The CSC Assistant reports to the onsite General Manager and Associate Manager.
- Compliance:
- Become familiar with the Architectural, Unit maintenance, parking, and other Rules and standards of the Association and the enforcement standards and procedures adopted by the Board of Directors.
- Conduct scheduled and spot inspections of the property using the community golf cart and on foot to identify, document, photograph, and report conditions, violations, and corrections of violations using Management’s learner- and user-friendly, yet powerful Vantaca mobile app & software.
- Issue hard-copy and digital citations for illegally parked vehicles and liaise with the patrol service and tow company as needed for required tows.
- Manage the Vantaca compliance database. Close out matters that have been corrected. Generate, print, and post letters to be issued, advance enforcement steps, and generate reports for Board review for information and hearings with owners.
- Maintain complete and organized digital and hard copy records.
- Brief the General Manager and Associate Manager on your activities and the details of compliance issues.
- Provide owners with the status of their compliance and architectural items.
- Provide owners and residents with accurate explanations and information about the Rules, standards, and enforcement procedures that are in your purview.
- Identify and report unapproved Unit-exterior architectural changes and confirm and document the progress of approved projects. Generate, print, and post letters to be issued. Generate related reports for the Architectural Review Committee (ARC) and Board of Directors.
- Maintain complete and organized digital and hard copy architectural records.
- Attend the monthly daytime Architectural Committee Meetings. Record and follow through on committee actions and requests.
- Site conditions:
- Conduct scheduled and spot inspections of the common area and facilities to identify and document safety-related, extraordinary, and routine maintenance needs, progress and completion of projects, and other service provider activity. Generate reports of same for staff and Board review ad action.
