Your Specific Responsibilities:

Audit and process purchasing card charges in compliance with Purchasing Card Procedure 350-030-010. Verify and validate approved transactions for payment in the P-Card Works system and apply credits against the same account code and category. Ensure completeness of payment documentation according to agency policy and procedure. Ensure purchasing card charges are processed within the time frame specified by procedure.

 

Audits pay documents for mathematical accuracy and compliance with contract terms, Florida Statutes, and established policies and procedures. Audits, verifies and processes warrants to vendors. This includes Vendor Invoice/ Warrant Processing responsibility. Provides customer service by communicating with internal and external customers regarding questions or issues and addresses vendor requests for information.

 

Processes incoming and outgoing mail. Ensures invoices received electronically comply with standards established in Expenditures Handbook for Managers and Employees. Enters electronic invoices into the FSO workflow in accordance with established office policy. Coordinates records retention, storage, and disposal of vouchers, contracts, and other financial documents.

 

Ensures that all surplus property is properly disposed of in accordance with procedure. Ensures that the surplus property certification is complete and all required documentation is maintained in accordance with the property surplus procedure. Tracks certification numbers and cross references to ensure items are deleted from the Florida Accounting Information Resource (FLAIR) system. Serves as back up for the maintenance of Tangible Property records and updating Florida Accounting Information Resource (FLAIR) subsystem files accordingly.
