Primary Duties and Responsibilities

Under the supervision of the Manager, the Administrative Assistant is responsible for providing scheduling and administrative support for Nuclear Medicine and PET/CT procedures for both inpatient and outpatient services at the Westwood and Santa Monica locations.

Key Responsibilities:

  • Schedule patient appointments in person and by phone

  • Verify insurance coverage and benefits for requested procedures

  • Confirm and obtain authorizations for office visits, procedures, and therapies

  • Inform patients of financial responsibility prior to appointments

  • Confirm appointments and provide preparation instructions

  • Coordinate ancillary services such as transport, anesthesia, EEG, and others as needed

  • Collaborate with various UC departments to support seamless patient care

  • Assist with special projects and general administrative tasks as assigned

  • Knowledge of Microsoft Word, Outlook e-mail, Word, Excel and basic knowledge of PC applications.
  • Ability to work independently and exercise appropriate decisions with minimum supervision.
  • Strong communication skills to interact with psychiatric patients and explaining department's policies as they relate to appointment scheduling, billing, collections and registration.
  • Experience in working as part of a team, establishing and maintaining cooperative working relationships with all staff members, management and the public.
  • Skill in organizing and prioritizing assignments.

Preferred

  • Knowledge of  Care Connect (EPIC) systems.
  • Working knowledge of Medi-Cal, HMO's, PPO's, third party payors, etc., authorizations and eligibility requirements and regulations.
