 Administrative Assistant III Duties:

 

This position serves as administrative staff member in the Office of Agricultural Law Enforcement (OALE).

 

COMMAND STAFF LIAISON: This position conducts highly independent and highly detailed administrative support work at the direction of the special operations chief. This administrative assistant liaises with all command staff administrative personnel to ensure accurate and detailed reporting of areas of responsibility. The administrative assistant assists with scheduling hiring interviews and liaises with the personnel section for hiring matters. The position is also responsible for tracking vehicles and vehicle movements within special operations. This administrative assistant receives myriad reports and periodic updates from all functional areas to combine and categorize information for reporting to command staff. The position is also responsible for preparing any and all weekly, monthly, and other assigned reports to command staff. The position tracks deadlines for reporting and works with command staff and their administrative support to ensure timely submission of required reporting.

 

ADMINISTRATIVE DUTIES: This position assists the special operations chief with calendar management, appointment setting and meeting coordination. Liaises with other agencies and state partners on behalf of the special operations chief when necessary in preparation of agendas or provision of executive summaries. Makes arrangements for meetings/conferences including space, time and location, informs participants of topics to be discussed and researches and provides background information. Schedules travel itinerary and makes travel reservations for the special operations chief and liaises with Budget and Finance for travel needs for special operations. May assist the training section administrative assistant with duties assigned at the direction of the special operations chief.

 

SHAREPOINT: This position maintains reports for special operations on the OALE’s internal Sharepoint site and liaises with administrative section personnel and others in updating the OALE’s Sharepoint site. Utilizes tools such as Microsoft Power BI to graph statistical and other information for review by command staff.

 

 

OTHER ADMINISTRATIVE DUTIES: Provides assistance and/or completes other administrative or support tasks assigned by the chain of command. Administrative duties may include any functions or tasks supporting the administration, operations, or functions of the Director’s Office at the direction of the assistant division director. Attends meetings and travels as required.  Operates and/or utilizes a variety of business and office equipment and machines including computers, photocopying equipment, scanners, calculators, etc.  Acts as a backup for reception desk responsibilities as required.

 

Performs other duties as needed.  

  

Minimum Qualifications:

 

  • A bachelor's degree from an accredited college or university and three (3) years of administrative or office support experience.
  • A master's degree from an accredited college or university can substitute for one year of the required experience.
  • Administrative or clerical experience can substitute on a year-for-year basis for the required college education.
