About the role

This role will work as part of our Global Supply Management (GSM) team and provide administrative support to our Chief Purchasing Officer (CPO).  In addition to administrative responsibilities, the selected individual will also be expected to complete tasks related to our global system and process reporting analytics.  This role will be located onsite in our Auburn Hills, MI location. 

 

 

Responsibilities

GSM Executive Administrative Assistant

  • Calendar Management: Manage CPO’s day-to-day calendar, including making appointments and prioritizing the most sensitive matters.
  • Meeting and Events Host: Organizing meetings and events, including scheduling, sending reminders, hosting, and organizing conference/catering when necessary.
  • Relationship Management: Support CPO and act as point of contact for other employees and internal/external partners. Assist in vendor communication, negotiations, and relationship management.
  • Meeting Support: Support CPO’s meetings with global GSM staffs and internal/external partners by coordinating calendars, managing the agenda, collecting content, taking detailed minutes, and task follow up. Prepare meeting materials and presentations for CPO, in professional formats with proactive planning approach.
  • Travel Coordination: Schedule travel arrangements, including calendar coordination and expense reports. Assist with necessary travel documentation including visa and travel paperwork.
  • Office Management: Act as GSM representative to oversee GSM AH office activities/supplies management and coordination. Interact/support with HRBP for GSM corporate employees related affairs.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality.
  • Special Projects: Collaborate with cross-functional teams on purchasing initiatives and special projects.

 

Process Team Analyst

Data Analysis and Reporting:

  1. Data Extraction and Interpretation:
    • Extract data from various sources, including internal databases, supplier portals, and external systems.
    • Analyze data to identify trends, anomalies, and actionable insights.
    • Create meaningful visualizations and reports using tools like Power BI, Tableau, or custom SQL queries.
  2. Quality Assurance and Operational Controls:
    • Develop automated solutions to ensure data accuracy, consistency, and completeness.
    • Implement controls to validate data integrity and flag discrepancies.
    • Collaborate with cross-functional teams to address data-related issues.
  3. Reporting Requests and Customization:
    • Customize reports based on specific business needs.
    • Ensure timely delivery of accurate reports to support decision-making.
    • Handle common reporting requests from CPO, such as Monthly Performance Report, special topic reports for GOC/RoR/GSC review, cost analysis, etc. Can be short-term back up while global GSM controller is out of office.

System Management and Process Improvement:

  1. Global Supply Management Systems (GSM):
    • Familiarize yourself with Nexteer’s GSM Business related systems, including Intelex Applications, QAD, CPI, NCAS, and BPM.
    • Optimize data availability and quality within these systems.
    • Collaborate with GSM system and IT teams to enhance system functionality and usability.
  2. Process Optimization:
    • Identify inefficiencies in existing processes related to purchasing, supply chain, and quality management.
    • Participate/host process improvement initiatives/projects, propose process improvements to streamline workflows, reduce lead times, and enhance overall efficiency. Monitor Project Progress and Deadlines.
    • Work closely with stakeholders to implement procedure and process changes whenever necessary.

 

Qualifications

  • Degree:  Bachelors Degree in Business Administration, Finance, Computer Science, or Supply Chain Management. Masters degree is preferred
  • Experience:  3+ years of previous experience with data analytics or executive assistant responsibilities.
  • Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines. Ability to organize, plan and document tasks including managing executive calendars.
  • Communication: Excellent written and verbal communication skills. Ability to interact effectively with a wide range of colleagues across functions and regions. Demonstrate high level of interpersonal skills to work effectively with others.
  • Attention to Detail: Meticulous in handling documents, scheduling, and correspondence. Demonstrated ability to work independently with minimal supervision.
  • Tech-Savvy: Proficient in Microsoft Office Suite (
