Under general direction, coordinates all internal event scheduling and planning for Empower’s Conference Center and Client Rooms located at our headquarters in Greenwood Village, CO.  Additional responsibilities are listed below and this position is required to be onsite.

What you will do:

  • Collaborate with our Global Conference Planning team to assist with, but not limited to, on-site Conference Center and Client conference rooms and remote reservation requests, including availability of space, furniture, equipment and tools, catering options and A/V resources.
  • Perform "as needed" tasks for all Conference Center and Client room event set up and tear down, assists A/V with special request needs,
  • Serves as back up for the Central Reception Services team, supporting Greenwood Village headquarters, primary locations, and field offices..
  • Consult with our Global Conference planning team and internal Empower meeting requestors to ensure expectations are met for Empower’s existing and potential clients.  Provide clarity and advice regarding services, amenities and catering with all associated costs, if applicable.
  • Liaise with the Global Conference Planning team on guidance to event support teams, such as Meeting Services, security, custodial, or other outside vendors, to ensure each event is successful.
  • Maintain a variety of records and prepare regular reports related to Conference Center facility operations to General Services Leadership.
  • Initiate Conference Planning calls pertaining to Greenwood Village and conduct event re-confirmation calls weekly with our Meeting Services support staff to make final adjustments, process date and/or time changes, or cancellations if necessary for our National Conference Planning   
  • Engages leaders following the event to understand their level of satisfaction with and success of the event.
  • Plan and facilitate on-site visits or events with various groups, including associates, existing and potential Empower clients.
  • Assists General Services Manager to ensure Catering/Food Services invoices are accurate and charged to the correct Cost Center.  
  • Other duties as assigned

What you will bring:

  • Requires an associate’s degree or equal experience of 3-5 years in the industry or work-related experience.
  • Proficiency using Event Management System - reservations software
  • Proficiency in MS Office (Word, Excel, PowerPoint)
  • Knowledgeable in Microsoft Office
