The Sr. Administrative Assistant will provide executive level administrative and operational support. Support activities include, but are not limited to, scheduling meetings, and coordinating meeting logistics, preparing reports and presentations, facility coordination, organizing information, arranging travel, and completing other administrative duties. This position has access to confidential information and maintaining confidentiality is essential.

What you will do:

Reports and Projects:

  • Provide assistance with the compilation and review of leadership team reports, and other various reports and documents.
  • Compose and/or edit correspondence, reports, spreadsheets, charts, graphs, and presentations ensuring a professional corporate design, efficiency, accuracy, and timely completion.
  • Organize and maintain confidential files and records.
  • Attend meetings as required, prepare accurate minutes, and follow through on action items as necessary.
  • Conduct research and assemble data to prepare reports and documents.
  • Assist with projects as assigned.

Divisional Support:

  • Manage applicable corporate files to include scanning, filing, and retrieval.
  • Collaborate with other administrative staff.
  • Review and approve timesheets for executive staffs’ direct reports.
  • Review correspondence and contracts to ensure accuracy, quality, and professional appearance.
  • Enter purchase requests into D365.
  • Manage division supplies.
  • Copy/scan and distribute materials.
  • Responsible for office/facility administration

Meeting Support:

  • Ensure recurring meetings (one-on-one’s, quarterly team meetings, sales team meetings, etc.) are scheduled on executive’s calendars and address any conflicts.
  • Coordinate internal and external meetings. Prepare meeting agendas, attend meetings as needed, and prepare meeting notes.
