GENERAL DESCRIPTION:
The Dealer Production Specialist (DPS) plays a critical role in supporting Golden 1 Credit Union’s indirect auto lending program by enhancing responsiveness, increasing funded-loan conversion rates, and improving communication between Lending Operations and Dealer Relationship Managers (DRMs). This position serves as an inside production resource focused on real-time pipeline management, approved/countered deal follow-up, and inactive dealer reactivation. The DPS bridges the gap between the field and internal operations—driving efficiency, speed, and improved dealer satisfaction. The DPS is responsible for ensuring timely dealer engagement following loan approvals, identifying funding obstacles, and coordinating resolution efforts. The role will contribute directly to funded-volume growth, dealer retention, and market share expansion within Golden 1’s indirect lending channel.
TASKS, DUTIES, FUNCTIONS:
1. Pipeline and Conversion Management
◦ Monitor daily application activity, including approved, countered, and pending loans, to identify deals requiring follow-up or clarification
◦ Proactively contact dealers to confirm intent to fund, clarify loan terms, and address conditions or documentation needs.
◦ Identify at-risk applications and escalate to DRMs or Lending Operations as needed to prevent fallout.
◦ Track and report conversion outcomes, turnaround times, and lost-deal reasons
2. Dealer Engagement and Reactivation
◦ Serve as the internal contact for assigned or regional dealerships, ensuring consistent communication and timely responses.
◦ Partner with DRMs to maintain a high level of service for top-performing dealers while increasing engagement with lower-volume accounts.
◦ Conduct structured outreach campaigns to re-engage inactive or dormant dealerships and schedule follow-up opportunities for the field team.
◦ Collaborate with Lending Operations and DRMs to ensure smooth and efficient funding processes.
3. Collaboration and Communication
◦ Act as a central liaison between DRMs and Lending Operations, to streamline communication and identify recurring dealer pain points.
◦ Communicate dealer feedback, process challenges, and success stories to the Regional Production Manager for strategic consideration
◦ Participate in weekly pipeline meetings to share updates, trends, and improvement recommendations.
◦ Support rollout of new programs, pricing updates, and incentives by assisting with dealer communications and feedback collection.
4. Data Analysis and Reporting
◦ Review and analyze dealer performance metrics, approval trends, and conversion ratios.
◦ Identify opportunities for improvement and present findings to leadership during regular performance reviews.
◦ Maintain dashboards and reports that measure responsiveness, dealer funding volume, and success of reactivation campaigns.
◦ Support the Regional Production Manager in preparing performance summaries or reporting for leadership meetings
5. Dealer Reactivation and Opportunity Targeting
◦ Contact inactive or low-volume dealers to confirm current points of contact, review available programs, and gauge interest in re-establishing business.
◦ Coordinate with the assigned DRM to determine next steps for re-engagement or site visits.
◦ Maintain a regional reactivation tracker to measure progress and success rates.
6. Operational and Compliance Excellence
◦ Ensure compliance with all applicable lending laws, regulations, and Golden 1 policies, including BSA/AML and fair-lending standards.
◦ Maintain accurate, confidential dealer and member data in accordance with corporate information security standards.
◦ Demonstrate professionalism and consistency in all communications with dealer partners and internal teams.
PHYSICAL SKILLS, ABILITIES, AND EXERTION UTILIZED IN THE PERFORMANCE OF THESE TASKS:
1. Effective oral and written communication skills required to perform the duties outlined above.
2. Must possess sufficient manual dexterity to skillfully operate an on-line computer terminal and other standard office equipment, such as financial calculators, personal computer, facsimile machine and telephone.
