Job Summary:
The Construction Administrative Assistant is responsible for providing administrative support to the construction management team. The Construction Administrative Assistant will help track construction schedules, invoices and construction documents.
Job Responsibilities: Including but not limited to

Manage daily schedules, meetings, meeting notes and appointments for the Project Manager and Superintendent.

Prepare, organize, and maintain project documentation, including contract requests via Wrike, permits, timeline, blueprints, file uploads, form submissions in AutoDesk and reports.

Handle correspondence, emails, and phone calls, ensuring timely and professional communication.

Assist in preparing presentations, spreadsheets, MPCR’s, MPSR’s and project summaries.

Track project deadlines, milestones, and deliverables, providing updates to the Project Manager and Superintendent.

Coordinate with subcontractors, vendors, and team members to ensure smooth project operations.

Maintain and update project management tools or software for task tracking and resource allocation.

Organize project-related meetings, including scheduling, preparing agendas, and taking minutes.

Other tasks as assigned.
Job Requirements & Qualifications:

High school diploma or equivalent, bachelor's degree in construction management, Civil Engineering, or a related field preferred.

Minimum 2 years’ experience as a construction administrative assistant.

Proven experience in construction administrative work, preferably in the field.

Strong knowledge of construction methods, materials, and safety standards.

Must have strong knowledge and experience with all applicable Florida building codes.

Familiarity with interpreting construction drawings, blueprints, and specifications.

Strong organizational and time management skills, with the ability to prioritize tasks effectively.

Proficiency in MS Office Suite and construction management software.

OSHA certification and other relevant certifications/licenses are preferred.
