About the role

Description

Teller County's Administration Department is seeking a full time Administrative Assistant III to provide administrative and operational support for the County Administration Department through a variety of professional administrative responsibilities. Supports the efficient operation of the department while providing exceptional customer service to County leadership, departments, and the public. 


What You'll Do: 


Provides administrative and operational support for the County Administration Department, including reception, correspondence, scheduling, records management, and maintenance of departmental files. 


Assists with preparation of agendas, sub-agendas, notices, and supporting materials for regular and special Board of County Commissioners meetings and other public meetings. 


Assists with administration of the County's risk management program, including liability, casualty, and property claims, annual CAPP renewals, and related documentation. 


Processes accounts payable, monitors departmental expenditures, and assists with budget tracking and other financial administrative functions. 


Coordinates administrative activities for the County Board of Equalization (CBOE), County Board of Adjustment, and other assigned boards or committees. 


Provides customer service by responding to public inquiries regarding County programs, special event permits, departmental services, and administrative processes. 


Assists with processing Colorado Open Records Act (CORA) requests. 


Coordinates procurement of office supplies, copier maintenance, and other administrative resources necessary to support departmental operations.


Assists with processing Special Event Permits and Parks Use Permits and supports planning and coordination of county-sponsored events. 


Performs other related duties, special projects, and administrative assignments in support of County Administration.


Requirements

What You'll Bring:

Education/Experience:

  • High school diploma or equivalent 
  • Minimum of two (2) years of progressively responsible administrative support experience, preferably in a professional office environment 
  • Any combination of education, training, and experience that provides the required knowledge, skills, and abilities may be considered

 You should also have the following Knowledge, Skills and Abilities:   

  

Knowledge of: office administration practices, procedures, and equipment; customer service principles and practices; basic bookkeeping, accounts payable, and records management practices; modern office software, scheduling tools, and business technology; applicable County policies, procedures, and administrative processes.


Skilled in: use of standard office software and business technology; organizing work, managing multiple priorities, and meeting deadlines; maintaining accurate records with close attention to detail; providing professional customer service and responding to inquiries with tact and professionalism; maintaining confidentiality and exercising sound judgment within established policies and procedures; communicating effectively, both verbally and in writing.


Ability to: maintain confidentiality and discretion; work independently while contributing effectively within a team environment; establish and maintain effective working relationships with County officials, employees, representatives of other agencies, and the public; prioritize competing assignments and adapt to changing workloads; interpret and carry out written and verbal instructions with close attention to detail and accuracy; communicate effectively in writing and verbally; learn County operations, Board processes, and departmental responsibilities; demonstrate initiative, dependability, and a commitment to providing high-quality administrative support.

Visual Acuity/Hearing/Speaking: Requires sufficient vision, hearing, and verbal communication to perform the essential functions of the position, including reading, writing, and communicating effectively.


Physical Effort/Dexterity: Work is primarily performed in an office environment and requires routine computer use. Requires the ability to sit for extended periods, as well as stand, walk, bend, stoop, kneel, crouch, and reach. Must possess sufficient manual dexterity to operate standard office equipment and the ability to occasionally lift or move up to 25 pounds. Requires the ability to operate a motor vehicle.
