Position Description:

The Department of Ophthalmology and Visual Sciences (DOVS) is seeking a Financial Assistant III who will provide comprehensive administrative, financial, research, and operational support.

Essential Duties and Responsibilities

  • Work with DOVS Research Faculty to gather financial information and assist with the preparation of personnel, operational expense, and overall grant/contract proposal budgets, as well as post-award financial reconciliations, providing Principal Investigators with the financial information necessary for proposal development and ongoing grant management.

  • Coordinate with the HSC Research Office and DOVS Principal Investigators on Cayuse and iRIS submissions for grant and contract proposals, renewals, modifications, re-budgets, and related activities; prepare internal financial reports for grant and contract Principal Investigators, support faculty with financial reporting requirements, and work in conjunction with the OSPA Accounting Office to ensure compliance and effective grant administration.

  • Coordinate all departmental clinical trial activities and proposals with the University of Louisville Clinical Trials Unit (CTU).

  • Coordinate and process effort reporting twice per year with OSPA and research faculty;

  • Assist with the annual departmental budget process by developing and managing budget information related to grants, contracts, and research personnel; collaborate with the Administrative Team and UBM on the overall department budget, prepare payroll and funding requests for research faculty and staff, and process journal vouchers (JVs) and expense transfers for grants/contracts.

  • Serve as the primary coordinator for DOVS with UL Physical Plant, UL Housekeeping, and/or third party vendors regarding submitting work orders and oversight to ensure the work is completed appropriately, as contracted and in a timely manner in the KLEC.

  • Coordinates KLEC building access and key processes including office setups, moves, transfers, building access, providing keys to staff and maintain accurate records for each of these processes. Works with UBM to monitor research and department related procard expenses and ensure compliance.

  • Serve as the primary travel specialist for the Department who processes and manages travel reimbursements which includes entering travel vouchers, reimbursements, providing information to DOVS faculty/staff related to travel.

  • Manage the department computer and capital equipment Inventory System, and department Space management system.

  • Assist with receiving/distributing packages received in the department, and with mailroom responsibilities.

  • Work as a “team member” with other DOVS administrative employees to ensure accurate and timely work completion, and work coverages.

  • Other duties as assigned.

Preferred Qualifications

  • Bachelor's degree in Accounting, Finance or a related field.

  • Two years experience working in a college/university setting.

  • Experience with NIH grant and industry contract related work.

  • Experience with creating/managing Excel spreadsheets.

  • Experience working with the Workday platform for financial processes.

  • Experience working with financial forecasting and planning.

  • Possess a clear overview of department accounting including research, clinical, endowment, gift, and all other departmental accounts.
