POSITION SUMMARY 

The Five Below Foundation (the “Foundation”) is seeking an experienced, nonprofit administrative professional to join its team as a part-time administrative assistant (this “Position”), approximately twenty (20) hours per week, with the potential of expanding into a full-time role. This Position will report to and work closely with the Foundation’s Vice President, Secretary to (a) provide communications, marketing, development, and grants support to the Foundation’s Officers, Board of Directors, Advisory Council, and head of philanthropy; (b) coordinate work and manage deadlines with third-party vendors that support the Foundation; and (c) provide administrative support in preparation for, at, and following all quarterly and annual meetings of the Board of Directors.  

The ideal candidate is responsive and personable, has excellent attention to detail, thrives on follow-up to ensure projects remain on track, has experience keeping track of numerous tasks and details (examples below), and will possess the following: 

RESPONSIBILITIES

  • Communicate effectively with Foundation leadership, including Officers, Board of Directors, Advisory Council, and philanthropy head, as well as other departments as needed.
  • Manage incoming communications, including email and physical mail, directing messages appropriately and maintaining organized filing systems.
  • Support state registration processes and grantee reporting, ensuring compliance and facilitating data collection and analysis.
  • Organize and facilitate quarterly and annual Board of Directors meetings, including agenda preparation, presentation management, and documentation.
  • Coordinate grant processes, from submission to payment, collaborating with Finance, and maintaining detailed records and reports.
  • Assist in agreement execution with Legal and conduct research projects as required by Foundation and Corporation policies.
  • Manage calendars and scheduling for Foundation leadership, Advisory Council, nonprofit applicants, and grantees.
  • Maintain and train others on nonprofit database management software, ensuring accurate data entry, reporting, and gift acknowledgment.
  • Collaborate across the Corporation to implement initiatives following Foundation grants.

QUALIFICATIONS

  • Minimum of 2 years of administrative experience in a professional setting (non-profit experience preferred).
  • Genuine interest in learning and supporting the Foundation’s mission and five (5) pillars—understanding the roles of the Foundation and Five Below, Inc. (the “Corporation”).
  • Excellent verbal and written communication skills, with the ability to draft professional correspondence promptly and accurately. Enthusiastic about effective and respectful interaction with individuals of diverse backgrounds.
  • Superior organizational skills and proven ability to successfully manage multiple deadlines and inter-departmental needs, while maintaining attention to detail.
  • Capable of working independently and collaboratively within a team, demonstrating problem-solving abilities, and knowing when to seek guidance.
  • Strong computer skills, including proficiency with MS Office (experience with non-profit database management preferred), and ability to learn new technology.
  • Ability to be in the office 1-2 days per week.
  • Commitment to maintaining a high level of confidentiality, as needed.
