Administrative Coordinator

Under the supervision of the Division Manager and Sleep Program Coordinator, we are seeking an Administrative Coordinator to be responsible for coordinating the administrative and clinical activities for four or more faculty members within the Pediatric Pulmonary Division – Sleep, Asthma, and General Pulmonology clinics.
Specific Duties & Responsibilities
- Work with patients, families, physicians, and outreach facilities to aid in planning and facilitating patient clinic and/or sleep study visits.
- Upload data into patient medical record in EPIC, verify EPIC visits, and coordinate scheduling of ancillary services.
- Schedule/reschedule patients to efficiently utilize resources (e.g. backfill to cover cancellations or add urgent appointments).
- Obtain insurance pre-authorizations for procedures as assigned, as well as any additional procedures as requested by physicians.
- Obtain and/or verify patient’s demographics and insurance coverage data in EPIC or telephone to complete registration.
- Prepare sleep study packet for interpreting Providers from the various outreach facilities.
- Format sleep results letter in EPIC and send to ordering physicians via in-basket, fax, or mail.
- Submit non-EPIC pro fee billing for outreach facilities via email to the Billing Department.
- Create invoices for fee-based services and park same in SAP A/R, monitor and track payments, identify unpaid invoices and resolve.
- Manage primary department telephone line, retrieve and relay messages to appropriate parties.
- Schedule meetings and maintain providers schedule.
- Provide back-up support coverage for lunches, illness, and other time-off requests as needed in the Division.
- Assist with the preparation of correspondence, reports, consent forms, and related documents.
- Other duties or projects as assigned.
Special Knowledge, Skills, & Abilities
- EPIC proficient– Understand the scheduling and registration process to be able to recognize and resolve incorrect demographic and insurance registration.
- SAP - A/R FV70 (outgoing invoices), FBL5N (reconciling invoice payments); Shopping Cart; and Trip Manager.
- Comprehensive knowledge and compliance of HIPAA rules and regulations in the dissemination of patient protected health information (PHI)
- Proficient in PC operations and software applications such as MS WINDOWS, EXCEL, POWERPOINT, and WORD
- Knowledge of Medical Terminology.
- Able to complete mandatory on-going training necessary to schedule new and follow-up appointments as appropriate.
- Excellent interpersonal, communications, and customer service skills.
Communication
- Exchange non-routine information using tact and persuasion as appropriate requiring good oral and written communication skills.
Minimum Qualifications
- High School Diploma or graduation equivalent.
- Three years related experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Bachelor’s Degree.

Starting Salary Range: Min $18.00 - Max $33.50 HRLY ($48,000 targeted; Commensurate with experience)
