About the role:
The Onsite Event Coordinator will support the planning and execution of standard events at our client’s world
headquarters. This entry-level role is ideal for individuals looking to start a career in event planning, with
a focus on event setup and essential administrative tasks.

 

As an Onsite Event Coordinator, you’re skilled with and passionate about:
1. Event Planning Support

  • Plan and organize low complexity events, aligning with client goals and ensuring all event details are in place.
  • Manage catering orders and arrange room setup details to align with client preferences and event requirements.
  • Collaborate with cross-functional teams, including catering, setup, and AV, to ensure event readiness.

2. Event Execution Support

  • Supervise event setup, actively managing logistics to ensure smooth and efficient operations.
  • Serve as a point of contact on-site, addressing issues and maintaining close communication with all teams involved.
  • Ensure all event aspects, from room setup to AV requirements, are delivered according to client specifications.

3. Event Close-Out & Data Management

  • Complete post-event close-out tasks, including data entry and documentation, ensuring accurate records.
  • Support event evaluations by tracking key details and insights for improvement.

 

You might also have:

  • Bachelor’s degree in Event Management, Hospitality, or a related field preferred; an associate degree or equivalent experience in event support is acceptable.
  • 0-2 years in event coordination or related field; relevant internship experience is a plus.
  • Strong attention to detail, organizational skills, and a customer-focused approach.
  • Proactive nature, eager to learn, and able to work collaboratively in a team environment.

 

You should know:

  • This role is in-person, with the primary expectation of being on-site at the client’s headquarters for a minimum of 4 days per week
  • Our standard working hours are 8:30 AM -5:30 PM, Monday through Friday
