About the Middle and Upper School
The Middle School (MS - grades 6-8) and Upper School (US - grades 9-12) make up the Lincoln Street Campus and serve a combined 500+ students with a focus on academic, emotional, and social growth as developmentally appropriate. Each division promotes a strong culture of professional growth, collegiality, and collaboration for teachers. We offer an extensive co-curricular program including arts, athletics, and community engagement, including internships for Upper School students with the University of Utah. We focus on experiential learning in both divisions and offer a series of overnight class and grade level trips, Winter Sports within the Middle School, and various community partnerships. We have a 1:1 device program: laptops for Upper School and grades 7–8, and iPads for grade 6 in the Middle School. Teachers in both divisions use the Canvas learning management system and Veracross as a student information system.
Position Summary
The Registrar serves as the central authority for student academic records, scheduling systems, and academic data integrity for the Middle School and Upper School. Working closely with the Heads of Middle and Upper School, the Registrar creates, implements, and manages student schedules, and faculty teaching assignments including timetable creation, add/drop processes, and required reporting. The Registrar partners with Upper School Administration, College Counseling, and the Academic Dean to maintain accurate academic records; oversee transcripts, credits, grading, and graduation requirements; coordinate standardized testing; and support academic data needs. This role ensures the accuracy, security, and confidentiality of student records in compliance with school policies and applicable regulations, while serving as a key resource for students, families, faculty, and staff.
Primary Job Responsibilities
Core Academic Records & Scheduling
Work with the Heads of the Middle School and Upper School to design and manage class schedules, including timetable creation, student add/drop processes, faculty lunch and recess duty assignments, and the generation of required reports.
Monitor, audit, and certify progress toward graduation requirements; proactively communicate status to students, families, advisors, and administrators.
Maintain accurate academic records in Veracross, including grades, credits, transcripts, and historical records.
Manage grading processes and academic timelines, including report cards, transcript generation, and grade reporting.
Testing & External Reporting
Coordinate and administer College Board standardized testing, including PSAT and AP exams.
Coordinate testing accommodations and proctoring for standardized tests and semester exams, in collaboration with Learning Support and administration.
Manage transcript requests and fulfillment for current students, alumni, colleges, and external institutions.
Collaboration & Strategic Support
Maintain a thorough understanding of school academic policies and procedures to effectively support students, families, and faculty/staff.
Work closely with Upper School Administration and College Counseling on transcripts, credits, and postsecondary reporting.
Assist the Academic Dean and divisional Heads with academic data collection, reporting, and special projects as needed.
Serve as a key resource to students, families, and faculty regarding academic policies, procedures, and graduation requirements.
