General Summary: Responsible for scheduling, canceling, rescheduling of outpatients visits for multiple programs by collecting all necessary information for scheduling. The completions of the responsibilities listed are handled in person, video conference, or via phone in a setting with a high volume of daily calls with members.

JOB RESPONSIBILITIES:

• Greets and welcomes members, their guardians/families check-in assistance.
• Schedules outpatient services in accordance with organization scheduling guidelines, with the ability to prioritize according to member's needs .
• Conducts phone calls to members confirming appointment, and any follow-up calls for missed appointments.
• Answers phones from members professionally and responding to members inquiries and complaints.
• Coordinates schedules with internal staff and external families, health plans, medical professionals, etc.
• Researches required information using accessible resources.
• Obtaining and collecting all necessary information from the member to schedule the member for an appointment.
• Manages scheduling communication and coordination between the member and the providers/clinicians.
• Manages and escalate priority issues.
• Identifies and communicates need for scheduling modifications and development.
• Communicates perceived problem issues and barriers to scheduling.
• Notifies appropriate personnel of any scheduling change due to member cancellation in a timely fashion.
• Receives and responds to member needs and complaints appropriately involving clinical team as needed.
• Participates in on-going education activities to develop, maintain, and enhance professional expertise as monitored by supervision.
• Accurately records member data in the Electronic Health Record.
• Scans and uploads documents into the Electronic Health Record.
• Updates member charts as necessary.
• Works with program directors, program supervisors and other management personnel to ensure systems are efficient and effective.
• Works with program teams to ensure the scheduling system is properly working.
• Other duties as assigned or necessary as they relate to the general nature of the position.
QUALIFICATIONS:
• Education – High School Diploma.
• Experience - 2 years of of call center/customer service experience in a medical setting. Behavioral health experience preferred. Experience and knowledge of an Electronic Health Record (EHR) system.
• Language - Spanish Speaking a plus
• Licensure/Certification - N/A.
REGULATORY:
• Minimum 18 years of age.
• DPS Level I fingerprint clearance (must possess upon hire and maintain throughout employment).
• CPR, First Aid, AED certification, if required (must posses upon hire and maintain throughout employment).
• Current, valid Arizona Driver's License and 39-month Motor Vehicle Report and proof of registration liability insurance to meet insure requirements, if required.
• Initial current negative TB test result, if required (Employer provides).
