Summary:

Assists the Public Health Director and the executive staff with organizing and executing routine administrative activities on behalf of the agency. Organizes and coordinates daily activities at the District Office in support of the Director. Completes and maintains various office records, requisitions, meeting schedules, conference room availability calendars and staff communications. Participates in the development of office processes and procedures. Coordinates unique projects, special events, staff meetings. Maintains, inventories and orders stock of office supplies, equipment and forms. Serves as the primary contact for office management vendors. Represents the agency in various administrative matters to include tasks associated with District Board of Health meetings. Conducts extensive research and compiles information needed to generate reports for inclusion in grant applications and records retention purposes. Completes special projects and other administrative duties as assigned.

CHARACTERISTICS OF THE CLASS

CHARACTERISTICS OF A CLASS: ARE GENERAL STATEMENTS INDICATING THE LEVEL OF RESPONSIBILITY AND DISCRETION OF POSITIONS IN THAT JOB CLASSIFICATION. 

  • Provides personal assistance, administrative support, and advanced secretarial/clerical support to an upper level manager in a small office or agency at a level that requires independent judgment and initiative.

MINIMUM REQUIREMENTS: MINIMUM REQUIREMENTS ARE COMPREHENSIVE STATEMENTS OF THE MINIMUM BACKGROUND AS TO EDUCATION, EXPERIENCE, AND OTHER QUALIFICATIONS WHICH WILL BE REQUIRED IN ALL CASES AS EVIDENCE OF AN APPOINTEE'S ABILITY TO PERFORM THE WORK PROPERLY.

EDUCATION:

  • Option 1: Bachelor’s Degree in Business Administration, Public Administration, Public Health, Community Health Health, Accounting, Human Resource management, Computer Science, or related degree. - OR -

  • Option 2: High School Diploma or GED and five (5) years of experience in administrative responsibilities such as budgeting, personnel planning, or closely related activities. Education in the subjects listed above will substitute for the experience on a year for year basis not to exceed four (4) years.

  • Organizes and coordinates daily activities of the agency, completes and maintains various office records, participates in the development of office procedures, coordinates unique projects and special events, maintains stock of office supplies, equipment and forms, assists the director or immediate supervisor in organizing and executing routine activities in personnel, budgets and payroll. Represents the manager in various matters, conducts extensive research to compile information needed to generate reports and is primary contact with vendors and completes special projects as assigned.
