Position Duties

The incumbent is responsible for the scheduling of any requests for space outside of academic courses on the Evergreen Campus and coordinating any special room set-up or technology needs. Responsibilities also include daily monitoring of the operations schedule to ensure the day�s scheduled events occur without incident, and overseeing student office assistants. This position requires great flexibility. The assigned hours are 8:30 am- 5:00pm Monday through Friday with weekend, holiday, and weekday adjustments as part of normal weekly operating procedures. Although primary responsibilities of this position are noted for the Evergreen Campus, this position may be assigned to perform these job responsibilities at any of the University Campus locations without prior notice. These services provide support not only to all University constituencies but include Loyola�s external community thus generating a high degree of visibility for the institution.

Maintain the University Master Calendar of events utilizing a computerized reservation system. Process over 15,000 annual facility reservation requests to include coordination of support departments and dissemination of information annually to event sponsors and University users. Generate reservation confirmations and weekly event schedule. Develop and maintain thorough knowledge of all campus facilities in regard to location, space requirements, capacities, multi-media equipment, etc. Serve as liaison between “priority use” departments such as Records, Fine Arts, Athletics, etc. and Event Services.

Serve as initial planning contact with event sponsors regarding room set-ups, technical support, catering needs, etc.  Disseminate all relevant information to support departments (i.e. Catering, Facilities Operations, Public Safety, etc.).

Coordinate, manage, and host the weekly Events Meeting to involve appropriate support departments such as Event Services staff, Public Safety, Technology Services, Environmental Services, Athletics, Recreational Sports, and Catering.

Hire, train, and supervise student Office Assistants.  Coordinate students’ class and exam schedules for efficient office support.

Education Required
High school diploma or GED

Education Preferred
Bachelor's degree

Work Experience
1- 3 years relevant experience

Required Knowledge, Skills and Abilities

One to three years' experience in a high-level administrative capacity or equivalent experience.
Must have experience with personal computers and Reservation Software System; previous experience with CollegeNET Series25 preferred.
Must be Microsoft Office proficient.
Ability to work in a fast-paced environment while successfully managing multiple priorities.
Capability to work both independently and part of a team with minimal direct supervision.
Excellent organizational skills with attention to detail emphasized.
Ability to exercise tact and diplomacy when dealing with all members of the University community and any individuals inquiring about or attending events on campus.
Must have the ability to problem solve, set priorities, and work with frequent interruptions.
Must have a high level of customer service and be service oriented.
Must be able to communicate effectively both written and verbal.
Must be poised, tactful, and discrete when necessary.
Flexibility to work weekends, evenings and holidays as required.
Ability to support the mission and values of a Catholic Jesuit education, as well as University goals for institutional diversity.
