What You’ll Be Doing
The role is responsible for supporting the VP Head of Internal Audit - US Region. Responsibilities include broadly supporting the Executive and the team with administrative and operational activities.
How You’ll Succeed
- Proactive calendar management, applying judgment on prioritization and resolution of calendar conflicts.
- Schedule meetings and update as needed due to conflicts, including tracking meeting locations (virtual or in-person).
- Coordinate meetings with travel scheduling.
- Developing an understanding of the bank organizational structure, including the responsibilities of Executives and senior leaders in order to identify meeting participants.
- Building relationships with the Administrative Assistants of Executives and senior leaders to facilitate scheduling.
- Building an understanding of the Internal Audit team organization to identify meeting participants and coordinate back-up coverage responsibilities for meetings. Track and manage attendance at meetings as needed.
- Prepare administrative correspondence, minutes, memos from verbal instructions and other preparatory materials.
- Apply policy and procedural guidance and apply judgment/discretion in daily administrative and operational decisions.
- Provide support for recruiting, onboarding/offboarding, technology requests, and other administrative matters.
- Plan and manage occasional events e.g. Town Halls, Team events, lunches, training sessions, and other ad-hoc projects.
- Plan and manage travel requests.
- Prepare and process expenses reports for the Executive.
- The position is expected to be primarily an in-office role on a hybrid schedule and supports the NY (ET) and Chicago (CT) time zones.
Who You Are
- Preferred Formal Education: Bachelor’s degree and/or 1-3 years relevant work experience
- Strong client service orientation skills
- Excellent organizational skills with an attention to detail
- Flexibility with the ability to multi-task and meet deadlines
- Strong work ethic
- Pleasant telephone manner
- Ability to work in a team environment
- Proficient with Microsoft Word, Outlook, Excel and Power Point
