Position Summary

Provides leadership in role to direct and manage project work to ensure appropriate communication of project status, scope, risk; manages the project process per standards and guidelines in order to facilitate the completion of projects within budget and schedule. Project work usually impacts multiple business units and/or departments; involves coordination on complex or ambiguous issues and requires innovative thinking, significant ingenuity and flexibility. Workload may include managing multiple projects, at various stages, simultaneously or a single more complex, risk-involved project. May provide program level oversight to multiple related projects. This team member builds and maintains working relationships with sponsoring organizations, stakeholders, team members, vendors, and other departments involved in the projects. Familiar with a variety of the field’s concepts, practices, and procedures. Relies on experience and judgment to plan and accomplish goals. Performs a variety of tasks and leads and directs the work of others. This position will actively participate and contribute to the WU IT Project Manager Community of Practice.

Job Description

Primary Duties & Responsibilities:

Stakeholder and Customer Engagement

  • Creates and executes project communication plan.
  • Develops and communicates project goals, responsibilities, expectations, risks and feedback with all parties in a timely manner.
  • Sets and manages customer and stakeholder expectations specific to the project.
  • Communicates project direction, approach, priorities, events and status to all project resources and business sponsors.
  • Builds working relationships with team members, vendors and other departments involved in the projects.
  • Influences decision-making on projects; works with key stakeholders, sponsors and senior management to secure acceptance and approval of deliverables.

Project Analysis and Planning

  • Analyzes and selects appropriate project management methodologies to develop plans, assign roles and responsibilities, manage tasks and deliverables; authors improvements to methodologies.
  • Develops project charter, budget and work breakdown structure (WBS) and other required components of the project plan (change management plan, scope management plan, cost management plan, risk management, procurement management plan, stakeholder management plan, communications management plan, quality management plan, human resource management plan).
  • Identifies needed resources, negotiates use of those resources, assigns responsibilities and develops timeframes to facilitate successful completion of project activities and deliverables.
  • May analyze and manages program resource requirements and allocations across multiple related projects.

Project Execution, Monitoring and Control

  • Manages execution of project and program plans to support the ongoing needs of the IT department's customers.
  • Tracks and monitors project and program health utilizing standard metrics for schedule, scope, budget and stakeholder engagement; tracks actual results to plan and analyze impact to report status; takes corrective action.
  • Assigns work to project team and coordinates resources.
  • Assures all necessary project deliverables are completed according to specification in the quality plan.
  • Manages the stated scope and requirements assuring project changes are highlighted, understood and approved by the project sponsor.
  • Assesses and mitigates project risks and issues; engages project team to identify and resolve problems; may track and manage program level risks for multiple related projects.
  • Relies on extensive knowledge and professional discretion to achieve goals.
  • Manages project procurements and external service providers.
  • Schedules and facilitates meetings related to projects; may facilitate program level meetings.
  • Manages project closeout activities.

Project Leadership

  • Leads and motivates project team to meet specific deadlines while meeting customer satisfaction expectations.
  • Lends expertise to multiple project teams and task forces.
  • Coordinates and facilitates lessons learned sessions for all projects, identifying opportunities for continuous improvement.
  • Ensures project team(s) effectively utilize internal project management process and documentation standards.
  • Actively participates and contributes to PM Community of Practice.
  • Mentors and coaches junior team members.

Project Financial Management

  • Collaborates with Project owner to develop project budget.
  • Manages project costs and forecast to budget.<
