Job Description:

Walt Disney Studios Franchise Management & Integrated Planning facilitates alignment among the Studio and lines of business across The Walt Disney Company, Disney Parks, Experiences and Products, Home Entertainment, Disney Music Group), as teams develop strategies and plans in support of films and franchises from Pixar Animation Studios, Walt Disney Animation Studios, Disney Live Action, Marvel Studios, Lucasfilm, Blue Sky Studios and 20th Century Fox Films. The team collaborates on a global scale to maximize the value of these brands and respective films while supporting the processes and priorities of internal business partners.Ā 

The Integrated Planning & Franchise Management Team is dedicated to driving strategic initiatives and fostering collaboration across various sectors. This dynamic team thrives in a fast-paced environment and is committed to delivering excellence in all aspects of planning and management. This position will report directly to the SVP, Integrated Planning & Franchise Management for Walt Disney Studios.Ā 

We are seeking a detail-oriented and proactive professional who excels in a high-energy environment and can successfully juggle multiple tasks without compromising quality. The ideal candidate will forge strong relationships, demonstrate exceptional problem-solving abilities, and maintain a polished and professional demeanor while supporting two high-level executives. A positive and resourceful mindset, combined with a commitment to deliver results, is essential.

Responsibilities:

  • Provide comprehensive administrative support to the SVP Integrated Planning & Franchise Management and the VP Franchise Management (DLA/20CS). Responsibilities include managing calendars, scheduling meetings and conference rooms, answering phone calls and taking messages, and submitting expense reports
  • Develop a strong understanding of key leadership roles across the studio and broader enterprise. Be knowledgeable of points of contact and communication preferences to facilitate seamless meeting scheduling, including creating strong relationships with executive assistants and partners to assist with planning and coordination
  • Proactively monitor and manage meeting attendance, ensuring priority attendees are tracked and demonstrating agility in scheduling with multiple senior management teams concurrently
  • Organize, maintain, and update department electronic files (shared network folders) while ensuring all documents required for the team are printed and accessible
  • Coordinate, update, and deliver essential team documents and databases timely and efficiently
  • Support the team with office resource management and assist on special projects beyond daily administrative tasks as required
  • Organize and coordinate Partner events, from submission for approval to tracking RSVPs and managing check-ins
  • Book and manage travel including coordinating meetings, creating detailed travel itineraries, coordinating with local offices, submitting and managing expense reports in a timely basis
  • Manage details for annual Studio International Summit including managing agenda, key logistics, invites and communication to attendees and key executives across WDS
  • Support office of the President for Town Halls and larger company events as needed answering phones supporting calendar

Basic Qualifications:

  • 1+ years of administrative experience at the senior management level, preferably within the entertainment industry
  • Strong computer skills with proficiency in both PC and Mac environments, including Microsoft Outlook, Word, Excel, PowerPoint, Keynote, and Google Docs
  • Proven ability to prioritize tasks, meet deadlines, and decisively adapt to changing situations with ease and flexibility
  • Exceptional attention to detail alongside the ability to maintain professionalism in high-pressure situations
  • Outstanding organizational skills with a strong commitment to follow-through, capable of managing multiple projects efficiently and concurrently
  • Excellent verbal and written communication skills, facilitating effective interaction and information transmission
  • A positive outlook with proactive, resourceful, and adaptable qualities
  • Exceptional interpersonal skills, able to foster a collaborative work environment and coordinate effectively with colleagues at all levels
  • A valued team player with an approachable demeanor, skilled in navigating diverse personalities and responsibilities without getting overwhelmed
