The University of New Hampshire seeks a highly organized and detail-oriented Administrative Coordinator to provide critical support to both the University Faculty Senate and the University Discovery Program. This dynamic role requires exceptional communication, problem-solving, and project management skills, as well as the ability to work independently and collaboratively with diverse stakeholders across the university as well as a member of an exceptionally strong pooled support staff team. The Administrative Coordinator will play a vital role in ensuring the smooth and efficient operation of these key academic governance and curricular initiatives.

Duties/Responsibilities:

Support for the University Faculty Senate:

  • Serve as the primary administrative point of contact for the Faculty Senate, managing inquiries and providing information to faculty, staff, and administrators.

  • Coordinate all aspects of Faculty Senate meetings, including scheduling, preparing agendas and supporting documents, recording and distributing minutes, and managing follow-up action items.

  • Maintain and update the Faculty Senate website, ensuring information is accurate, current, and accessible.

  • Manage Faculty Senate elections, committee appointments, and related processes.

  • Assist with the preparation and dissemination of Faculty Senate communications, reports, and resolutions.

  • Maintain official records and archives of Faculty Senate activities.

  • Process financial transactions, including reimbursements and budget tracking, as needed.

  • Provide logistical support for Faculty Senate events and initiatives.

Support for University Discovery Program:

  • Provide comprehensive administrative support to the University Discovery Program, leadership team, and associated committees.

  • Assist with the development, implementation, and assessment of the University's Discovery Program curriculum.

  • Coordinate meetings, prepare agendas and materials, and record minutes for Discovery Program committees and working groups.

  • Maintain and update the Discovery Program website and related online resources.

  • Support communication with students, faculty, departments, colleges, Registrar’s Office and other units regarding Discovery Program requirements, policies, and procedures. Advise and oversee student petition process.

  • Assist with the organization of workshops, information sessions, and other events related to Discovery Program.

  • Manage data and workflow related to Discovery Program course offerings, course approval process, and assessment activities.

  • Process all manner of administrative paperwork, including course proposals and curriculum changes.

  • Support all tasks related to institutional and national accreditation and compliance requirements.

General Administrative Responsibilities:

  • Manage calendars, schedule appointments, and coordinate meetings for relevant faculty and committees.

  • Prepare correspondence, reports, presentations, and other documents.

  • Maintain office supplies and ensure efficient office operations.

  • Develop and maintain organized filing systems (both physical and electronic).

  • Provide excellent customer service to internal and external stakeholders.

  • Handle confidential information with discretion and professionalism.

  • Undertake other administrative tasks and projects assigned.

Minimum Qualifications:

  • Associate's degree required; Bachelor's degree preferred.

  • Minimum of three years of administrative support experience, preferably in a higher education setting.

  • Demonstrated experience supporting committees or governance structures is highly desirable.

  • Excellent organizational, time management, and prioritization skills with a strong attention to detail.

  • Exceptional written and verbal communication skills, including the ability to draft professional correspondence and reports.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Qualtrics, CIM and experience with website management.
