Job Description:

GDIT’s Military Health Team is seeking a Senior Executive Assistant to support core staff in our clinical research departments for the 59th Medical Wing (59 MDW) located at Lackland Air Force Base in San Antonio, TX.

 

The 59th Medical Wing Science and Technology (ST) office advises and conducts clinical and translational research on matters pertaining to the medical aspects of the Air Expeditionary Force and the health of Air Force (AF) personnel and beneficiaries. In order to support the required research, ST offices conduct translational research in the areas of emergency medical care, combat casualty care, force health protection, restorative medicine, clinical and rehabilitative medicine and specialty centers.

HOW YOU WILL MAKE AN IMPACT:

  • Provide administrative and coordination support to core staff, Chief Scientist, Directors, and Staff.
  • Act as the first point of contact for the Science and Technology organization and  provide direction to clients and facilitate service requests.
  • Sorts and distributes incoming correspondence, email, tasks notification, phone calls.
  • Develop/prepare clinical/research project documentation for the government executive director(s). Review revising, proof reading and editing memorandums, support letters, staff summary sheets and other correspondence as needed.
  • Prepare  and  organize  meetings,  develop  agendas,  and  following  on  action  items  derived  from meeting objectives.
  • Maintain   organizational   documentation   files,   support   staff   with   reviewing,  editing,   revising correspondence,    organizational    documentation   gather    required    signatures    and    certifying submissions.
  • Maintain schedule for the departmental investigator(s) and support staff meetings, and schedules meetings with external agencies and institutions.
  • Gather   and   organize   project   related   information;   plan   and   assist   with   related   project data/information  collection,  management  and  reporting  as  needed  to  support  overall  mission deliverables.
  • Provide support to research study team including research protocol budget planning in support of overall program needs.
  • Provide  support,  in  preparing  of  equipment  and  supply  purchase  documentation  in  support  of research study.
  • Prepare,  submits,  tracks,  and  files  travel  requests  in  accordance  with Joint  Travel  Regulation. Understand and use the systems to support travel input and funds tracking.
  • Review regulatory and administrative compliance documentation for associated research studies.
  • Prepare and ensure timely delivery of required reports and other documentation.
  • Support consultants and project managers with files, correspondence, schedules, and presentation graphics and publication submissions.
  • Develop deliverables and reports in support of research protocol(s). Support ST investigators/staff with conducting and providing deliverables for funded research/process improvement efforts.


WHAT YOU'LL NEED (required):

  • High school diploma/ GED
  • 8+  years  of  experience  performing  mid  to executive level support.
  • Intermediate+  experience  with  Microsoft  Office  applications  including:  Word,  Excel,  PowerPoint, Outlook, Access, Publisher, and SharePoint.
  • Intermediate+ experience with Adobe Acrobat and internet applications.
  • Knowledgeable in meeting planning, organization, and execution.

WHAT WOULD BE EVEN BETTER (preferred):

  • Associates degree or higher
  • DoD experience, highly desired.
  • Biomedical Research support experience, highly desired.

SKILLS & ATTRIBUTES FOR SUCCESS:

  • Must display attention to detail and organization.
  • Proven ability to support multiple executives and teams.
  • Must have interpersonal skills and have excellent oral and written communication skills.
