Position Summary

The primary point of contact for client service inquiries, scheduling, and follow-ups, this role ensures exceptional customer service by managing work orders, coordinating with teams, and addressing potential issues proactively. Responsibilities include responding to client inquiries, providing service updates, conducting post-service follow-ups, and collaborating with operations to ensure services are properly staffed and equipped. The position also supports Account Managers in identifying upsell opportunities and communicates client feedback to improve service and scheduling. The role is key to maintaining client satisfaction, driving service improvements, and contributing to client growth strategies.

 

Key Responsibilities

  • Serve as the primary client contact for service inquiries, scheduling, and follow-ups, ensuring exceptional customer service.
  • Track, manage, and update work orders in the CRM from initial request to completion.
  • Proactively identify and communicate potential service or client issues to front-line staff.
  • Stay informed on service offerings to maximize client engagement and upsell opportunities.
  • Respond promptly and professionally to client calls, emails, and messages.
  • Provide proactive updates on service schedules, potential delays, and rescheduling needs.
  • Conduct post-service follow-ups to gather feedback and confirm client satisfaction.
  • Coordinate with operations to ensure services are properly staffed, equipped, and prepared.
  • Keep Account Managers informed of service progress, delays, and key client feedback.
  • Act as a liaison between field technicians, operations, and Account Managers for efficient service execution.
  • Monitor the service calendar and notify relevant teams of updates or adjustments.
  • Ensure accurate CRM records, updating service dates, technician notes, and client preferences.
  • Identify and communicate recurring service issues to improve scheduling and client experience.
  • Collaborate with Account Managers to identify upsell opportunities and expand service offerings.
  • Other duties as assigned

Qualifications

  • High School Diploma is required.
  • Minimum of three (3) to five (5) years of business-to-business sales experience required.
  • Excellence in relationship-building skills.
  • High level of confidence and ease in engaging existing clients and prospects alike.
  • Strong sense of team and ability to work with internal partners.
  • Experience in a service coordination, dispatch, or scheduling role.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Can overcome customer objections and conflict resolution.
  • Strong written and verbal skills.
  • Exposure to or experience in scheduling software and CRM systems.
  • Positive "can-do" attitude with the ability to proactively solve problems and adapt in a fast-paced environment.
